Elegant Projects Ltd is a Construction and Property development company with office in Lagos and Abuja.
The Lagos office is situated in Plot 4, Suite 1, Mammy Extension, Ibereko Barracks, Badagry.

Primary Purpose of Position:

Provide Secretarial and Administrative support function.
Essential Functions:

Provide administrative support to include:

the preparation of departmental documents, spreadsheets, and presentations using Microsoft Office.
Distribute, file and maintain departmental documents.
Compile, organize, proofread and accurately finalize documents for signature and/or distribution.
Organize and maintain electronic files and project directories .
Schedule appointments, maintain and coordinate calendars and contact lists in Outlook.
Coordinate logistics and assist in the preparation of all materials for office and client meetings, and catering arrangements
Process and track expense reports, check requests, and other entries
Receive, pre-code, track, create, and research invoices.
Arrange staff travel as approved.
Sort, open, deliver, and track incoming mail and packages.
Arrange for courier and overnight services.
Request and obtain office supplies.
Provide functional administrative support to include:
Track, verify change orders for on-going projects.
Track Capital Expenditure.
Manage construction documents using appropriate software.
Coordinate drawing review including logging comments and managing deadlines.
Support Project Audits with research and document assembly, as requested
Assemble and distribute project closeout materials and files.
Print using the large format copier.
Support projects or special assignments as requested.
Provide support to other departments, as requested, to include:

• Sorting incoming mail for DC office. • Deliver outgoing mail to mailbox.
Deliver incoming packages to mail room and/or recipient in a timely manner.
Open, date stamp, deliver or process incoming mail, packages and correspondence for Office . Reconcile invoices.
Process all incoming supply orders for accuracy and completeness and reconcile invoices with shipment.
Handle requests for property management assistance or with facility or space issues.
Organize and assist with office parties, luncheons, and other regional events.
Assist with office management tasks as directed by the MD.

Non-Essential Functions:

Provide Receptionist and other Administrative function
Perform other duties as assigned.

Requirements and Qualifications:

Ordinary National Diploma or equivalent educational certification in Business/Secretarial studies required. Recent University graduate welcome.
1-3 years of progressively responsible secretarial or administrative support experience is an added advantage.
Experience operating office equipment.
Ability to produce high quality or quantity of work on a consistent/ timely manner.
Effective problem-solving skills, resourceful.
Ability to interact with co-workers, Artisans, contractors, clients in an articulate, pleasant, courteous and business-like manner at all times.
Ability to work under pressure and adapt to changing demands.
Ability to work independently, as well as part of a team.
Attention to detail.
Flexibility to work beyond the regular work schedule.
Strong communication, organization and multi-task management skills.
Proficiency with Microsoft Word, Excel and PowerPoint.

Internal and External Contacts:

Maintain Internal contacts with the chief executive, Project coordinator and team leads

External contacts with clients, artisans and vendors.
Reporting Structure:

Reports directly to an Office Manager who provides oversight and supervision to include annual performance evaluations.
Receives work assignments from various members of the Construction Department.
