𝗪𝗲 𝗱𝗼𝗻’𝘁 𝗱𝗿𝗶𝘃𝗲 𝗶𝗻𝘁𝗼 𝘀𝘁𝗼𝗿𝗮𝗴𝗲 𝗳𝗮𝗰𝗶𝗹𝗶𝘁𝗶𝗲𝘀 𝗮𝗻𝘆𝗺𝗼𝗿𝗲.

Five screws on the drive aisles in one day. One of them was about two inches long, sitting right where a tire would roll over it.

For a tenant, that’s a flat on the way out with a trunk full of boxes.

For the owner, it’s a frustrated customer and maybe a review with the facility’s name on it.

Debris is easy to miss from behind the wheel. On foot, you see all of it. So that’s how we walk the facilities we manage.

If nobody’s walked your drive aisles lately, start there.

Want a second set of eyes on how your facility runs day to day? Send us a message.

This tear is a quick fix today. Once a tenant moves in, it's a damage claim.

It's a rip in the ceiling insulation, and in an empty unit it's easy to walk right past. That's why self-storage maintenance happens at move-out. We walked this one before it went back up for rent.

Most storage buildings are metal. When warm, damp air hits a cold metal roof, it turns to water on the underside. The insulation's v***r barrier is what keeps that water off a tenant's things. With a tear in it, the next humid week does the rest.

The door seal was worn too. Cracked or brittle weather stripping lets in rain, dust and pests.

Then a quick blow-out, so the floor's clean and any leak stains are easy to spot.

Each of these is a short, doable fix while the unit's empty. Skip them, and you're the one fielding insurance claims after a tenant's things get wet.

If you want your vacant units walked like this every time, send us a message about management.

Most storage budgets are this year's costs with 3% added on top. Copy the spreadsheet, bump every line, done.

The problem is that every one-off from this year rides along. The gate motor you replaced in March, the paving patch, that one legal bill. None of it is coming back, but the percentage treats it like it will.

The costs that are really moving don't move by 3% either. Insurance renewals, payroll, software contracts and property taxes each have their own number. Some jump. Some sit still.

So build it line by line:
• Pull this year's one-time costs out first
• Price each line that's actually changing
• Then look at what's left

It takes longer the first time. After that, when the year gets tight, you know exactly which line to look at.

If you're budgeting across several facilities and the spreadsheets are starting to disagree with each other, send us a message. We'll talk through how we'd run your portfolio.

𝗡𝗼𝗯𝗼𝗱𝘆 𝗿𝗲𝗻𝘁𝘀 𝘁𝗵𝗲 𝘂𝗻𝗶𝘁 𝘄𝗶𝘁𝗵 𝘁𝗵𝗲 𝗯𝘂𝘀𝘁𝗲𝗱 𝗱𝗼𝗼𝗿.

97 needs tape. 99 is good. 21 is pretty bad.

That's the Fitz Storage Solutions team walking a row of vacant units with a clipboard. Every door gets checked by number and marked ready to rent, quick fix, or real repair.

On paper, all of those units are just "vacant." Walk the row and you find the ones nobody can rent. A seal that needs tape. A door that won't close flush. Damage nobody logged after the last move-out.

Every week one of those sits is rent the owner doesn't get back.

FSS walks the units instead of trusting the list, so owners know what's rentable today and what's holding the rest back.

If you own a facility and aren't sure how many of your vacant units are actually ready to rent, send Fitz Storage Solutions a message to talk about management.

A promo tenant isn't a tenant yet.

Peak season is over. The tenants who moved in on May through August promos hit their first rate review this fall, and the occupancy report won't tell you how it went. It counts a $1 first-month unit the same as a $165 unit.

Pull that group out of the rent roll and track it on its own. Three questions answer it: how many are still there 30 days after the increase, what they pay now against street rate, and how many never came off the promo at all.

A facility can hold 94% occupancy and lose the entire promo cohort in November. Same scoreboard, very different year.

Fitz Storage Solutions runs rate reviews on a scheduled cadence and reports the summer cohort separately from the rest of the rent roll, so the owner sees the group and not just the average.

Swipe through for what the fall cohort actually tells you. Owners who want the facility run this way can reach out about management.

A manager had a binder with laminated tabs. Open procedure, close procedure, gate code reset, what to do when the elevator sticks.

Real work had gone into that binder.

Then the rate letters came up. She had drafted them back in March and was still waiting to find out whether she was allowed to send them.

It was August.

Nobody in that story did anything wrong. The manager wasn't slacking. The owner wasn't neglecting the place. The binder covered how to do things and said nothing about who gets to decide things.

Across 30+ facilities managed, that is the gap Fitz Storage Solutions walks into most.

Here is what it quietly costs:

🧾 Rate letters sitting drafted. Margin already earned, parked in a folder.
⏳ Delinquency that stops dead at the step needing a person, then ages past collecting.
🔧 A $200 repair waiting three days on a signature, while downtime outruns the part.
🚪 Good managers leaving, because trusted with the work and second-guessed on the decisions gets old.

A bigger manual won't touch any of it. What's missing is written-down permission, and it's usually four or five sentences.

Who sends the rate letters, and on what schedule. What the manager spends without checking first. What genuinely needs to reach the owner. When the report lands and in what format.

That's the layer FSS builds first on a new account, before anything else gets touched. The owner still sets the standard. The owner stops sitting in the middle of every small decision.

Want to find your own version? Open the call log from the last thirty days and sort every call from the site into two piles. Task or decision. The decision pile is the list.

By the time the owner heard about the keypad, it had been broken for 21 days.

He didn't hear it from his manager. He heard it from a 1-star review left by a tenant who got locked out at 8 PM with a truck full of boxes.

The repair itself took less than an hour.

It sat broken for three weeks because after the vendor missed the first Thursday window, the issue lived in a messy text thread instead of a system. Everyone assumed it was already handled.

That's the part owners miss.

The first call always gets made. Managers are great at the first call. It's the second one, the one after the vendor flakes, that separates a facility with a real process from a facility running on good intentions.

At Fitz Storage Solutions, we run open work orders the same way we run a delinquency ladder:

🔹 Assigned the day it opens. Every item gets an owner and a firm due date immediately, not after it's already late.
🔹 Written escalation. The moment a vendor misses a window, the next step is already written down.
🔹 Proof of closure. Nothing gets marked done on a verbal promise. It closes with a photo and a completion date.

And we don't hide the ugly stuff. Open items and how long they've been sitting go on your owner report every month. You see the aging list, not just the fixed list.

If the honest answer to "who is chasing that vendor right now?" is a name you're not entirely sure of, start there.

At most facilities that lock comes off whenever a staff member can get out there. Monday, usually. The money's in, the tenant's current, and they still can't reach their own things.

𝗧𝗵𝗲 𝗳𝗮𝗰𝗶𝗹𝗶𝘁𝗶𝗲𝘀 𝘄𝗲 𝗺𝗮𝗻𝗮𝗴𝗲 𝗿𝘂𝗻 𝗮 𝗰𝗼𝗺𝗯𝗶𝗻𝗮𝘁𝗶𝗼𝗻 𝗼𝘃𝗲𝗿𝗹𝗼𝗰𝗸 𝗶𝗻𝘀𝘁𝗲𝗮𝗱. The code can be reset, so once a tenant pays they can be given a working code and take the lock off themselves. Nobody makes the trip.

There's a step past this too. Bluetooth smart locks tie into the software, so the overlock comes off the moment the account clears, without anybody touching it.

Whatever you run, the question underneath is the same. How much of that release still needs a person in it?

What's on your delinquent units, and how much of it runs on its own?

5 dashboards and you still can't tell what needs your attention.

That's when more reporting starts creating more work.

Occupancy is over here.
Revenue is over there.
Delinquency has another report.
Pricing needs its own context.
Marketing tells another piece of the story.

So yes, you can see the numbers.

But can you see the operation?

An owner shouldn't have to spend the first part of every review piecing together what happened before deciding what to do about it.

Good reporting should make it easier to answer:

What changed?
Why?
Where do we need to look?
What happens next?

That's how we think about reporting at Fitz Storage Solutions.

Our systems bring the operating picture together so owners can spend less time decoding reports and more time evaluating the decision in front of them.

If your reports are giving you information without giving you clarity, contact us today, let's talk.

The advice most independent owners get is to wait. Run it yourself until you've got three or four locations, then bring in a management company.

It holds up at four. It falls apart at one.

At four facilities you have a bench. Somebody covers when somebody's out. Problems get caught because more than one person is looking at them.

At one facility you are the bench. You're the after-hours line, the vendor scheduler, the delinquency follow-up, and the person who notices the light out on C row. All of it queues behind whatever else you do for a living.

The owner with four locations can absorb a week where nobody worked the delinquency list. The owner with one can't. Same missed week, very different dent in the rent roll.

So the advice has it exactly the wrong way round. The single-facility owner isn't too small for management. They're the one with no margin for going without it.

We manage facilities for owners in that spot. One building, no bench, every exception landing on the same phone.

If you want to see what that produces month to month, message us and ask for a sample MOIP. It's the report we hand owners, redacted. You'll know inside five minutes whether it's the visibility you've been missing.
