3 SIGNS YOUR PROPERTY MANAGER ISN’T ACTUALLY MANAGING YOUR PROPERTY
Hi, I’m Raul Duarte, owner and broker of SOLiMAR Real Estate—a boutique property management company serving St. Petersburg and the Tampa Bay area.
I’ve been licensed in real estate for more than 25 years and managing properties for the past seven years.
Here are three signs your property manager may not actually be managing your property.
1—YOU ONLY HEAR FROM THEM WHEN THEY NEED SOMETHING
No regular updates
No property check-ins
Only requests, signatures and paperwork
Communication begins after something goes wrong
Good property management requires proactive communication—not radio silence followed by a surprise.
2—MAINTENANCE ISSUES DRAG ON
Work orders remain open
Contractors aren’t followed up with
Tenants receive no updates
Small problems become larger repairs
A delayed repair isn’t always the contractor’s fault. Sometimes, nobody is managing the process.
3—YOU HEAR ABOUT PROBLEMS FROM YOUR TENANT if you happen to pass by your property
The tenant contacts you directly
You weren’t notified about the issue
Your property manager is already behind
You’re forced to step in and handle it
If your tenant is keeping you better informed than your property manager, something is wrong.
My FINAL THOUGHT
None of this is complicated. It simply requires someone who is paying attention, communicating and following through.
You hired a property manager so you wouldn’t have to manage the property yourself.

LANDLORD VS. PROPERTY MANAGER

Owning a rental property and professionally managing one are two very different things.
Here are three important differences.
1—OWNERSHIP VS. DAILY OPERATIONS
A landlord owns the property.
A property manager operates it like a business.
Proven systems and procedures
Tenant communication
Maintenance coordination
Detailed documentation
Owning the investment is one responsibility. Managing its daily operation requires an entirely different set of skills.
2—REACTIVE VS. PROACTIVE MANAGEMENT
Self-managing landlords often learn through:
Trial and error
Online searches
Last-minute decisions
Calling unfamiliar contractors
An experienced property manager brings:
Knowledge and experience
Established vendor relationships
Consistent procedures
Proactive oversight
The goal is to identify problems early—before they become emergencies or expensive mistakes.
3—PROTECTING YOUR MONEY AND YOUR TIME
Poor management can cost owners through:
Late or unpaid rent
Extended vacancies
Inadequate tenant screening
Deferred maintenance
Compliance mistakes
Professional management helps protect the investment through:
Consistent rent collection
Careful tenant screening
Faster property turnovers
Maintenance oversight
Proper notices and documentation
Good property management doesn’t simply collect rent. It protects your income, your property and your time.
Being a landlord makes you the property owner.
Having the right property manager gives you an experienced partner and more freedom from the daily chaos.
The goal isn’t only to own rental property—it’s to make sure that property is managed well.

WHAT DOES BOUTIQUE PROPERTY MANAGEMENT MEAN TO ME?

I’ve been licensed in real estate for more than 25 years and managing properties for the past seven years.

Here are three important things that define what boutique property management means to me.

1—A MANAGEABLE PORTFOLIO
Fewer properties per manager
Genuine attention for every property
Time to notice the small details
Growth isn’t about how many doors we can manage. It’s about how many doors we can manage WELL.

2—PERSONAL, CONSISTENT SERVICE
One manager who actually knows your property
Clear and proactive communication
Your property isn’t passed from department to department
You should know who is managing your investment—and they should know you.

3—PROTECTING YOUR INVESTMENT
Careful tenant screening
Maintenance addressed early
Long-term planning based on the local market
We’re not here just to collect rent. We’re here to protect the property and help your investment perform over time.

To me, boutique property management means having the time, flexibility and personal involvement to deliver a higher standard of service.

Your property should never feel like just another address in someone’s portfolio.

Let’s talk: REALTOR & PROPERTY MANAGER SAFETY
These precautions protect real estate professionals and self-managing landlords—even when they feel inconvenient.

1—KNOW WHO YOU’RE MEETING
Free application required, screening if $75 if you move FORWARD

Identity verified

Contact information documented

We don’t enter a vacant property with an unidentified stranger.

2—DOCUMENT EVERY SHOWING
Prospect’s name

Property address

Appointment time

Someone always knows where we are and who we are meeting.

3—SHARE YOUR LOCATION
Live location shared

Check-in system

Phone kept accessible

If something feels wrong, someone else needs to know immediately.

4—CONTROL THE SHOWING
Keep a clear path to the exit

Stay aware of your surroundings

Allow the prospect to walk ahead

Never let yourself become trapped inside a room or property.

WHY DOES THIS MATTER?
According to the National Association of REALTORS®:

22% experienced a situation that made them fear for their safety or personal information

26% of those situations occurred during a showing

29% involved threatening or inappropriate calls, texts or messages

I wish more people understood why we require an application—and ours is completely FREE.

It isn’t a sales tactic.

It isn’t an accusation.

It’s a basic safety precaution.

Self-managing landlords should follow similar procedures because no rental showing is worth risking your personal safety.

Safety is never negotiable.

3 TIPS EVERY PROPERTY MANAGER SHOULD FOLLOW

1. RECONCILE ACCOUNTS MONTHLY

Regular reconciliations help catch errors early, prevent discrepancies, and ensure your financials accurately reflect what’s happening in your business.

2. MONITOR CASH FLOW BY PROPERTY

Understanding how each property is performing allows you to identify trends, control costs, and make more informed decisions about your portfolio.

3. AUTOMATE OWNER REPORTS

Consistent, professional reporting keeps owners informed, builds trust, and reduces the time spent answering repetitive questions.

SIX QUESTIONS TO ASK BEFORE YOU SWITCH PROPERTY MANAGERS

If you don’t like the answers, you already have your answer.

1. WHO WILL ACTUALLY MANAGE MY PROPERTY DAY TO DAY?

Many agencies win your business with a senior property manager, then hand you to a junior.

Know exactly who is responsible for your property.

2. HOW AND WHEN DO YOU CONDUCT RENT REVIEWS?

A good property manager reviews rent proactively—not just at lease renewal.

Ask how often, what data they use, and whether they’ll act on it even when it feels uncomfortable.

3. WHAT DOES YOUR CURRENT FEE STRUCTURE LOOK LIKE?

Management fees are only part of the picture.

Are there any additional charges?

Ask about letting fees, lease-renewal fees, inspection fees, and administrative costs.

The cheapest fee isn’t always the cheapest outcome.

4. HOW DO YOU COMMUNICATE WITH ME, AND HOW OFTEN?

You shouldn’t have to chase your property manager.

Ask what proactive communication looks like—not just what happens when something goes wrong.

5. WHAT DOES A ROUTINE INSPECTION LOOK LIKE, AND WHAT HAPPENS WITH THE FINDINGS?

An inspection should result in a detailed report, photos, and follow-up action—not a form that is simply checked off and filed away.

Ask to see an example.

6. WHAT DO YOU DO WITHOUT ME HAVING TO ASK?

A good property manager shouldn’t need prompting.

Ask them to provide specific examples of what they do proactively, such as rent reviews, maintenance checks, market updates, and lease renewals.

If they struggle to answer, that tells you everything.

If you don’t like the answers, that’s your answer.

Switching is easier than you think.

PROPERTY MANAGER NON-NEGOTIABLES

These rules protect your rental… even when they’re uncomfortable.

SAFETY FIRST

Safety is NEVER negotiable.

* Functional smoke detectors
* Secure doors and windows
* Code-compliant utilities

If it’s unsafe, it’s a no—every time.

FAIR HOUSING LAWS

* No exceptions
* No “preferences”
* No risky shortcuts

One violation can cost more than a vacancy.

TENANT SCREENING STANDARDS

* Background checks
* Income verification
* Rental history

The right tenant is more important than the fastest tenant.

TIMELY REPAIRS

* Preventative over reactive
* Habitability matters
* Deferred maintenance means bigger bills later

Protect the asset, not just the budget.

EVERYTHING IN WRITING

* Leases
* Notices
* Owner approvals

If it’s not documented, it didn’t happen.

PROFESSIONAL BOUNDARIES

* No after-hours calls for issues that aren’t emergencies
* No side deals
* No skipping processes

Systems exist for a reason.

These aren’t rules meant to be difficult; they’re rules designed to protect your investment.
