At the Microsoft AI Tour today... AI agents are clearly here. But I get the sense that very few organisations are actually seeing real gains yet.

I went in thinking this was mostly a data layer problem. Then I thought it was about getting clearer on the problem we’re solving. Then systems, process, how the work flows end to end... and all of this is important.

But I think many are overlooking something more fundamental.

The workflow itself.

If you drop an agent into an average workflow, all you really get is the same outcome… just a bit faster and with more scale.

No real leverage or step up.

The shift isn’t rushing to building agents. It’s rethinking how work gets done in the first place.

I think this is the key thing that actually unlocks it.

I recently switched from Gmail to Outlook and had to rebuild my productivity setup from scratch.

The first thing I did was set up three simple rules that now cut my inbox noise by at least 50 percent.

1- Any email where I am CC’d goes straight to a separate folder. If I am CC’d, it rarely needs action. I review these once a week.
2- All meeting responses accepted, declined, tentative bypass the inbox. My calendar is the source of truth.
3- Any email containing the word ā€œunsubscribeā€ skips the inbox. I choose when I read newsletters, not when they arrive.

It took about 15 minutes to set up, but it dramatically reduced mental load.

At the end of the day, you either design your systems, or your systems design your day.

Three things I learned in my first week at McGrath:

1) Ex*****on is a system, not a mood.
The best teams don’t rely on motivation or willpower. Leadership builds the environment so the right actions happen by default. Ex*****on becomes inevitable.

2) Clarity beats complexity. Every time.
Everyone’s rowing in the same direction, regardless of department. The mission and vision are simple, repeatable, and actually lived. I heard them reinforced in my first hour… and it happens every week.

3) We’re obsessed with the customer.
For us, the customer is the agent and their team. Everything is designed to create the best operating environment for them to thrive, so they can deliver their best work for clients and get better outcomes.

Your signboard gets heaps of attention.
People slow down, look, and think: ā€œWhat would my place sell for?ā€

Most agents waste that moment by sending QR scans to a generic page or a listing, where the visitor bounces and disappears.

Here’s the simple fix: treat your signboard QR like a lead funnel, not a link.

1) Increase scans (better offer)
Don’t write ā€œScan hereā€. Give them a reason.
Example:
ā€œScan for the last 10 sales in this pocket and what they mean for your price.ā€

2) Increase conversion (capture details)
Send them to one focused page with one action:
Name + mobile + email (address optional)

3) Instant follow-up (no delay)
As soon as they submit:
Auto-send the mini ā€œprice guideā€ or sales list
Auto-send a booking link for a 10-minute price chat

Street traffic is high intent.

Give them a clear next step while curiosity is hot, and your signboard starts producing appraisals, not just impressions.
