A full calendar doesn't mean much if the money's leaking out somewhere else.

That's the trap with static Airbnb pricing. Charging the same rate on a random Tuesday in February as you do the week the city fills up for TIFF, a Jays playoff run, Pride, or Caribana isn't a strategy, it's a guess. And "occupancy looks great" can quietly hide the fact that you're leaving real revenue on the table night after night.

Airbnb's built-in Smart Pricing is a start, but it's generic and it doesn't know your street, your competitors, or that a demand spike is building a month out. If your current management company is just letting that run on autopilot, that's not management. That's the default setting.

Most hosts think "keep good records" means one folder, one rule. It doesn't. The City of Toronto and the CRA require different things, for different lengths of time and mixing them up is how hosts end up scrambling during an audit or a compliance check.

🧾 CRA, keep for 6 years
Your tax records (income, expenses, receipts) need to be kept for 6 years from the end of the tax year they relate to which is double the City's window. Many hosts only plan for one retention period and get caught short on the other.

The Municipal Accommodation Tax is back down to 6%, after a temporary bump to 8.5% ended August 1, 2026. If you're still budgeting for 8.5%, you're overpaying yourself on paper.

MAT filings are due quarterly April 30, July 30, October 30, and January 30 and yes, you still have to file even in a quarter with zero bookings. "No bookings" isn't the same as "no filing."

⚠️ The one owners don't expect

Since January 2025, all approved short-term rental registrations are subject to an annual compliance inspection, and you're required to be present for it. And if you work with a co-host or a property manager, the registration liability still sits with you as the operator. Delegating the work doesn't delegate the responsibility.

Airbnb also reports rental night data directly to the City under its own agreement so the numbers on your end and the City's end are expected to match.

A review comes in overnight dinging "slow to respond" you never even saw the message until morning.

A guest asks something simple, like whether there's street parking, and gets an auto-reply that doesn't actually answer it, because the bot doesn't know your listing has two spots, not one.

Your one property manager is stretched across a dozen other things, so messages sit for hours. You apologize. It shows up in the review anyway.

You put out one fire, another guest messages at 1am, and the loop starts over.

Every Airbnb turnover looks the same from the outside: a cleaner shows up, a cleaner leaves. The difference between a 5 star listing and others is what's actually supposed to happen in between, and what goes wrong when it doesn't. πŸ‘‡

1. A documented handoff, not tribal knowledge.
Cleaners rotate and cover for each other. Without something written down, a unit's quirks live in one person's head. Skip this, and a backup cleaner forgets to reset the thermostat resulting in the next guest walking into a unit that's freezing or sweltering, and that's the first message you get.

2. Photos before cleaning starts, every time.
No timestamped "before" photo means no way to prove whether damage happened during the guest's stay or during the clean. Skip this, and a stain on the sofa becomes a cost you either eat or try to dispute with zero evidence.

3. Restocking checked against a standard, not "whatever's left."
Guests judge a listing on the basics. Skip this, and a weekend guest finds one roll of toilet paper and an empty coffee jar. The five-minute miss becomes a review that sits there for six months.

4. A real path for issues to get fixed, not just noticed.
Skip this, and WiFi goes down two hours before check-in. Nobody catches it until the guest, who booked specifically to work remotely is already inside, already frustrated.

5. A backup cleaner on call.

To legally operate, you need to register with the City under Chapter 547. The unit has to be your principal residence (you live there at least 180 days a year), entire-home rentals are capped at 180 nights a year, and you need working smoke and CO alarms plus proof of $2M liability insurance.

The numbers that actually matter this year are the registration is $390/year (not $375), that figure's outdated. And Municipal Accommodation Tax is back down to 6%, after the temporary 8.5% surcharge during the World Cup period ended.

One more thing hosts get wrong constantly: those "$100,000 individual / $500,000 corporation" fines you'll see quoted everywhere are the maximum a court could technically impose, not what typically happens.

Routine enforcement for most violations is a $400–$1,000 administrative penalty. Still real money, still worth avoiding, but not the doomsday number some blogs make it sound like.
