Job Title: Lettings Referencing Administrator

Job Summary
The Lettings Referencing Administrator is responsible for coordinating and managing the tenant referencing process for residential lettings. This role ensures that all prospective tenants are thoroughly vetted in line with company procedures, landlord requirements, and relevant legislation. The successful candidate will work closely with applicants, landlords, letting negotiators, and referencing providers to ensure a smooth and efficient tenancy progression process.
Key Responsibilities
• Manage the end-to-end tenant referencing process for new tenancy applications.
• Obtain and review tenant documentation, including proof of identity, employment details, income verification, and previous landlord references.
• Liaise with applicants to ensure all required information is submitted accurately and promptly.
• Coordinate with external referencing agencies and monitor the progress of reference checks.
• Assess referencing outcomes and identify any concerns, escalating issues where necessary.
• Communicate referencing results to landlords and internal stakeholders.
• Maintain accurate records and update property management or CRM systems.
• Ensure compliance with Right to Rent requirements and relevant lettings legislation.
• Prepare tenancy documentation and support the progression of approved applications through to move-in.
• Respond to enquiries from tenants, landlords, and colleagues regarding referencing and application status.
• Ensure all data is handled in accordance with GDPR and company policies.
• Assist with general administrative duties within the lettings department as required.
Key Skills and Experience Essential:
• Previous experience in an administrative or customer service role.
• Excellent attention to detail and accuracy.
• Strong organizational and time-management skills.
• Effective verbal and written communication skills.
• Ability to manage multiple applications and deadlines simultaneously.
• Proficiency in Microsoft Office applications, particularly Outlook, Word, and Excel.
• Ability to handle confidential information with discretion.
Desirable:
• Previous experience in residential lettings, property management, or tenant referencing.
• Knowledge of Right to Rent checks and UK lettings legislation.
• Experience using property management software such as Reapit, Alto, SME, Jupix, or similar systems.

Salary
£27,000–£30,000 per annum (depending on experience).
