Administration assistant

Company Description
Fairoak Estate Management was established in 2013 to offer an unparalleled level of residential management services to landlords, developers and leaseholders in blocks of flats and estates throughout London and the Home Counties.

Role Description
This is a full-time hybrid role for an Administrative Assistant at Fairoak Estate Management Limited in Horsell, Woking, with flexibility for some remote work. The Administrative Assistant will be responsible for providing administrative support to the property managers, handling phone & email communications & required to carry out some site inspections once or twice a month, so use of a car is essential. You must have an excellent telephone manor, a good working knowledge of MS Office and be willing to learn.

At Fairoak Estate Management we are specialists in residential estate and block management understanding someone’s home is their most expensive asset and the services we provide are key to the smooth running of any development. Working alongside the Property Manager you will be responsible for assisting with their portfolio of estates so we can fulfill our contractual obligations to our clients. This position would suit someone with previous experience of working within an office in an administrative role and looking for their next step up. To fulfill your duties, you will have a good working knowledge of Microsoft Office products such as Word, Excel, Outlook. You will need to be a team player and be focused on providing excellent customer service.
Responsibilities:

• Answering the phone, taking messages. A good telephone manor is required.

• Franking and overseeing the post leaving the office, filing, shredding, and scanning as required.

• Updating excel spreadsheets and mail merges as required.

• Assisting with various projects such as researching contractors, liaising with local authorities, room bookings.

• Take instructions from Property Managers, issue work orders or quotation requests to contractors.

• Chasing contractors for start dates, updating residents and logging quotes when received.

• Working closely with the Property Managers to ensure all their administrative duties are kept up to date.

• Occasional site visits.

This is a full-time role based at our offices in Horsell, Woking. We offer a competitive salary, company pension scheme, 22 days paid holiday and Monday to Friday working 9am to 5pm. Property Manager/Trainee Property Manager Job Vacancy

At Fairoak Estate Management we are specialists in providing residential estate and block management to the highest standards. We understand someone’s home is their most expensive asset and the services we provide are key to the smooth running of the development.

Ideally, you will have some relevant property management experience having previously worked as a Property Manager, Assistant Property Manager, Lettings Management or similar. Based at our offices in Woking, Surrey you will be working as part of a small friendly team in a relaxed office environment where no two days are the same. For the right person we can provide full on the job training and career development with the opportunity to attain an industry recognised qualification.

Carrying out site inspections is an essential part of the role so you will need a full driving licence with access to a vehicle. A good working knowledge of Microsoft office such as Word, Excel, Outlook is also essential. Our hours of business are Monday to Friday 9am - 5pm with occasional evening client meetings that may be carried out either in person or by Zoom. In return we offer a competitive salary (dependent on experience), paid holiday, time off in lieu for evening meetings, business mileage expenses, company pension scheme.
