Minutes of Meeting - General Body Meeting (3rd June- 2018)
Assotech the Nest Apartment Owners Association Crossing Republik Ghaziabad
Dear All residents,
Thanks to you all for attending the 3rd June General Body Meeting Called by AOA after taking best possible Maintenance handover and also have taken crucial decision for the favor of the society. Please find below mentioned list of points as discussed in GBM: -
Following points were discussed and agreed in Yesterday GBM held in club Hall -

 Towards Financial Transparency and Fund Management – Income Vs Expenses -
- AOA team Explained on Accounts and Finance part how they trying to set up with the help of Finance committee.
- Introduction of financial Guidelines.
- AOA explained why 90 days’ time required taking the decision on GST because If we have savings equal to GST amount is being paid further to Vendors/Service providers then we can go ahead for GST Waiver.
- Appointment of CA to set the process and keep track on transaction in line with society By-laws & Financial laws.
- AOA team explained about challenge of collections from 150 odd flats (Out of this 29 are unsold and rest are Unpaid with Non Meters and unpaid with meters)
- List if Defaulters to be published on notice boards within 48 hrs.
- No Support of Maintenance on defaulter Flats.
- Maintenance Staff will on the role of AOA after completion of all necessary compliances – till the time Salary is paid thru 3rd party manpower agency.
- AOA have got the NoC from most of the service providers for the amount which was due on Assotech Limited.

 Towards Power Saving Measures –
- 3rd Party Audit was done for all energy meters and found few flats whose meter was bypassed.
- Electricity disconnected for those flats who were using the electricity without meters.
- Maintenance office have arranged approx. 10 meters for Such flats from Assotech Limited to regularise them
- Electricity disconnection was done for Assotech Limited under construction Area
- New 278 nos. LED's lights have been placed in different locations towards electricity bill reduction program.
- Residents suggested exploring the Solar Light option for common area lights.
- Concern was raised on Common Area electricity consumption which is very high as compare to Adjoining societies of same size. Residents suggested to install the meters to monitor this including Club.
- Audit of electrical and technical Equipment’s.

 Towards Clarity on Maintenance takeover / IFMS Recovery & Contingency Fund–
- AOA team again explained about difference in Maintenance take over Society Handover.
- AOA Explained that Maintenance Takeover Agreement does not stop or bind AOA for taking any Legal action on Assotech Ltd.
- To put the due pressure on Developer, AOA team has already issued a legal notice to Assotech Ltd. for his submitted bouncing of Rs. 10 LACs cheque for the name of 1st instalment of IFMS/contingency fund.
- In legal notice we have included IFMS amount also with Rs. 10 LAC.
- In case no Revert by builder matter will be taken up in court as per Law.
- AOA will take other measures as well (Lodging FIR on Cheque Bounce Case etc.) and approach Administration.
- As suggestion received by Residents – AOA may explore the option to hold receivables of 29 unsold flats of Developer.
- AOA explained that Negative Balance recovery process should be made fast, because amount recovered from those Flats will be Kept by AOA against IFMS.
- AOA explained that 100% amount of any sales of parking will go in Joint Account and 50% out of that will be adjusted against IFMS.

 Legal Case –

- AOA briefed that why AOA joined the on-going case of liquidation in Delhi high court what benefit we as a resident can expect after joining the legal case in Delhi high court. GBM appreciated the step taken by AOA.
- AOA also briefed about the expenses incurred on the case and explained that lawyer was identified after meeting at least 5 lawyers and few resident’s inputs were also taken in lawyer selection.
- Residents asked to divide the Legal case expenses in all flats through prepaid meter and adjust the extra money accordingly. – As per AOA this will be done and same was agreed in July-17 GBM as well when legal case filing was approved by GBM.

 Other Important Points discussed –

- AOA explained about a complaint filed by MR. Sanjay Chauhan and updated that reply have been submitted to Registrar/GDA.
- There were baseless allegations raised by Mr. Sanjay Chauhan, AOA had given justification to GBM for all points and shown all facts and documents all GBM shown their consent and agreement for the same. Although Mr. Sanjay Chauhan shown his dis satisfaction, few residents proposed to sit together and discuss about their point of view. AOA agreed to discuss with unsatisfied group personally face to face to understand their point of view. Although all other residents were appreciated that the positive approach of AOA that they clarified once again.

 Parking issue – treatment of all residents for the parking will be in same manner.

 Few Important Work done after maintenance handover dated on 01st April 2018–
- Tower A, D & E Curving stones painting done, All tower reception painting is under process done so that tower entrance look could be more impressive.
- We have started in house nursery in the back side of Tower E, so that plants requirements can be manage in house only.
- Long water leakages problem in Tower E basement -1 rectified.
- Lift's regular basis audit template prepared and ordered to implement to our maintenance staff and Johnson.
- CCTV Camera in all lifts. Additional fans installed in lifts.
- DG service done in May month only.
- Club RO servicing and repaired work done.
- Swimming pool bathroom glass, door repairing work done and exhaust fan installed.
- Submersible pump motor repaired, Tower C overhead tank line choking removed.
- Payment option to recharge through card successfully done, POS machine started.

 Further GBM Directed to start the Elections Process for financial Year 2018-19 and formed an Election committee of following Residents Unanimously.
- Election committee will ensure the elections in 2 to 3 weeks’ time.
- Drive of Membership will be open at least for 10 days to make the maximum members and copy of bylaws will be given to each Member.
- Defaulters will not be allowed to Fight elections as per by Laws.
- Mr. P. R. Prasad will be head of election Committee.

The dry run of the system is complete and the platform will be available for use by the residents from tomorrow 22nd April 2018.

*mynukad* is a one stop mobile solution for society management and social connect within society. It is highly secured system where users are on boarded after robust approval process. It has following important features:

2. Multiple users from the same flat who are residents of the society can register on the App.

With all your support, now have taken the control of Maintenance collection and Services, So it is our duty to take the System / Services to next level.

We Invite Volunteer Subject expert Residents to work with AOA team to set the things right , to understand the system better and to deliver the Best.

Residents may nominate themselves in various committees formed for different areas for betterment of society.

Few committees will be in force for one month and few will continue based on nature of activity.

Volunteers having subject knowledge will be preferred.

Initially for 1 Month more time will be required, later on time will be required only on weekends once system is streamlined.

Dear Residents,

It is immense pleasure to inform you that after so many efforts made by AOA/Residents and as per the feedbacks of society residents finally time has come to do parking allocation by Assotech limited.

Assotech Ltd has communicated us to do parking draw for tower D & E on 25th Feb at 11:00 AM at society club hall. As we were facing this inconvenience since taken possession in 2013-14. Parking allotment will be done fully in transparent manner through lottery system on 25th February 2018 ( Sunday) at 11:00 AM at society club. Please be available on the same occasion.

Sub – Allocation of parking space for esteemed residents of Tower D & Tower E



Sir,



As you are aware that parking spaces has already been allotted to Tower A, Tower B & Tower C flat owners. However the allocation of parking space for Tower D & Tower E has not been done so far. Now the time has come to initiate this process. We would like to share the plan for allocation of car parking spaces in Tower D & Tower E.



For the fair allocation of parking space, we will use Lottery system. As you are aware, there is a shortage of car parking space in both the towers as few are under construction. Temporary parking space will be provided to those whose parking space is currently “under construction” and once the parking space is constructed, the temporary parking will be shifted in permanent parking space to the specified flat owner.



We have fixed the following schedule to initiate the process of lottery for allocation of car parking space.

Dear Co-Residents

Just to update all of you regarding today’s meeting with Assotech MD held in AOA office. which was outcome of 31st Meetining with City Magistrate - AOA team/Many other residents attended this meeting.

Summary of Discussion -
Assotech has paid some amount to CIPL (60LAC) and will share payment receipt / NOC from CIPL (electricity/TMC pending dues of 1.20 Cr) with AOA in next week to avoid disconnection of electricity further for old dues.

Same payment proof/NoC will be shared for Security agency / Housekeeping / lift AMCs as well to avoid Security/housekeeping services disruption.

AOA/Assotech has also agreed to move forward in direction of taking over of maintenance with predefined conditions (Details Mentioned in MoU including fund transfers & completion of other critical Jobs).
Expected date of signing MoU is 15th Nov-17, We will keep you posted! Thanks – The Nest AOA

Good evening everyone,

As per ACM letter Assotech builder haven't attended meeting today but Mr Pradeep Kumar Dwivedi SDM attended meeting at Vijay Nagar Police Station. He has listen our all problems related to our society and also called builder through his phone. Builder has given again false promises in front of SDM over phone. And has promised to submit all compliance documents within coming Sunday and also promised to meet AOA coming Sunday at 11 o'clock in the society campus. He will also provide all compliances documents to SDM as well as us if he fails to do so then we will seek Administrative support again. Thank you all residents very much for your all support.
