Today quoting Mark Cruth from , who shared his tips for the best team meetings in remote and hybrid settings.

🆕 Knowledge workers spend >50% of their time in meetings (it increased nearly 70% during the pandemic). For every minute we spend in a meeting, there’s another minute lost for other work. Meetings are broken today. We default to “let’s set up a meeting for this” instead of “should we have a meeting for this?”

What makes a good meeting?
🌀 Start your meetings five minutes LATE
Google Calendar has a feature called Speedy Meetings which allows you to make a 1-hour meeting 50 minutes by default, ending the meeting early so participants can have a quick break.
Consider starting your meeting five minutes later than usual (e.g. 2:05PM instead of 2:00PM). Your attendees will come in delighted as they realise they have a quick five-minute reprieve from the meetings.

🌀 Fill out the description of the meeting invite
Consider answering three questions in the description box for every meeting you set up:
Why are we having this meeting?
What is the goal/outcome needed from the meeting?
Who should attend this meeting?

🌀 Create (and send out) a meeting agenda with timeboxes
Spend time before the meeting constructing an agenda with timeboxes to help keep the meeting on track. Even better, send out the agenda 24 hours prior to the meeting and ask for feedback.

Downtime between meetings or the case for breaks is crucial for our brain health, research says. Microsoft’s Human Factors Lab sought to find a solution for meeting fatigue. Researchers asked 14 people to take part in video meetings while wearing electroencephalogram (EEG) equipment to monitor the electrical activity in their brains.

The 14 volunteers each participated in two different sessions of meetings. On one day they attended stretches of four half-hour meetings back-to-back. On another day, the four half-hour meetings were interspersed with 10-minute breaks. Participants meditated with the Headspace app during the breaks.

The research showed three main takeaways.
🌀 Breaks between meetings allow the brain to “reset,” reducing a cumulative buildup of stress across meetings.
In two straight hours of back-to-back meetings, the average activity of beta waves—those associated with stress—increased over time. But when participants were given a chance to rest using meditation, beta activity dropped, allowing for a “reset.”
🌀 Back-to-back meetings can decrease your ability to focus and engage.
When participants had meditation breaks, brainwave patterns showed positive levels of frontal alpha asymmetry, which correlates to higher engagement during the meeting. Without breaks, the levels were negative, suggesting the participants were withdrawn, or less engaged in the meeting. Breaks are not only good for wellbeing, they also improve our ability to do our best work.
🌀 Transitioning between meetings can be a source of high stress.
For the participants deprived of breaks, researchers also noticed that the transition period between calls caused beta activity, or stress levels, to spike. Jumping directly from one meeting to another can cause spikes of stress

What makes this study so powerful and relatable is that the researchers were effectively visualizing for people what they experience phenomenologically inside.
