The Property Manager is responsible for overseeing the day-to-day operations of homeowners associations. They will work with boards of directors and other HOA members to ensure the associations are run smoothly and efficiently by overseeing and upholding contracts, budgets & documents.
The Property Manager is responsible for the management and support of community association, including, but not limited to: daily operations, regular interaction with and support of Board of Directors members/homeowners/vendors, neighborhood meeting attendance, budget preparation, and overall community business management.
General Administration Responsibilities:
Maintaining the operation in a positive, effective forward path.
Providing a high level of customer service – timely answering of phone calls, responding to emails and other correspondence.
Documenting and maintaining records
Maintenance Responsibilities:
Overseeing all aspects of maintenance and reporting issues that need attention.
Knowing and ensuring all common areas are safe, well maintained and insured.
Ensuring contracts for services are appropriate, competitive and perform according to specifications
Tracking compliance of contractual obligations
Overseeing expense forecasting and future budgeting
Assisting when coordinating multiple contractors to work in the same area or project
Internal Communications:
Compiling action items and filing work orders with support staff to ensure items are completed in a timely manner.
Communicating with office and support staff regarding action items that need to be addressed.
Financial Management:
Understanding the association’s financial position
Reading and reporting on the financial statement
Monitoring the budget
Verify services completed and approve bills
This position will begin as part time with the opportunity to go full time if you desire to grow within the position. We are open to a flexible start-end time Monday-Friday, but this position does require in person attendance.
This position requires in office work along with property checks out of the office and monthly Board meetings that may require an hour or so on a weeknight or weekend day (once a month) for scheduled board meetings, all located within the Kennebunk area or via Zoom.
Property Management experience preferred, but not required. We are willing to train the right person. Must love dogs as we have a few in the office with us daily!
