We’re proud to announce that Key Association Management is supporting a local non-profit organization to help those in need during these difficult times. Make Food Not Waste www.makefoodnotwaste.org is an organization that is committed to feeding people, not landfills. The upcycling kitchens at Make Food Not Waste use overlooked food (from local grocers with fresh/boxed/canned produce that is almost about to expire) to feed people, not landfills. They believe that food is far too important to be thrown away into landfills and they envision a Michigan where no food creates methane emissions in landfills. They work to stop food waste before it occurs and gives overlooked food a place to go.

At the meal distribution center at the Presbyterian church off of Jefferson in Detroit, volunteers help to package meals, prepare them for distribution and hand them out to folks in the communities along with personal hygiene items, clothing, coats and other necessary items that may be needed.

This organization has touched many of our hearts here at Key as Dawn Miller and some of her team members have volunteered at the meal distribution center and got to experience first hand the positive impact this organization is making, the joy it brings to people, the people that you meet along the way and the mouths that you help to feed. Giving back and offering help to this organization is truly something to be thankful for!

Please see the attached flier for non-perishable, hygiene and gently used winter clothing donation items that are needed. Donations are now open and will be accepted until November 19th, 2025. We would greatly appreciate your support in making a difference!

An Office Assistant is responsible for the day-to-day interactions of the residents we serve along with supporting our staff in carrying out important tasks that helps keeps the flow of our business in motion.

Handling Resident Inquires (answering phones, transferring calls, messages, emails etc)

Computer Literacy (Microsoft Office, Management Software)

Basic Accounting skills (able to read and understand statements, debits and credits) You will be asked to explain a statement if you are considered for the position.

Digital Filing (Computer Navigation Skills, Microsoft and Management Software)

Requirements

Job Type: Part-time

Pay: $17.00 - $19.00 per hour

Expected hours: 20 per week

Preparing and Assembling the Budget

Every community association must have a budget. This is required at various levels of the law as well as in the governing documents. Budgets mandate the procedures to determine the applicable requirements for reserves. The association should consider the needs and desires of the homeowners. What services do they require? Are they required on a daily, weekly, monthly or annually basis? Budgets should also account for any unexpected expenses as well.

Budget due dates depend on the association and is generally noted within the bylaws. Typically, budgets are done by either calendar year or fiscal year. Your association manager will typically put together a proposed budget and then the Board, which may contain a budget committee, will review, and approve. It is important that the budget committee does not just budget for money it expects or does not have. An example, you shouldn’t budget for late fees or fines; if income is not expected then do not budget for it. The association can take into account the needs of the homeowners.

Budget line items are either mandatory or discretionary. Mandatory line items are a need or obligation such as water, insurance and taxes. Discretionary line items are a desire or expectation such as a pool or playground. While discretionally line items can be ranked based on the desires or wants of the homeowners, mandatory items must always be budgeted for.

What is Fiduciary Duty?

The duty and obligation of Board Members to act in the best interests of the Condominium/HOA unit/lot owners. Board members have a Fiduciary Duty to manage the financial and operational affairs of the Association with care, loyalty, and diligence.

Key aspects of Fiduciary responsibilities for Board Members may include:

1. Financial Prudence: Board members are expected to make informed and responsible financial decisions for the association. This includes budgeting, financial planning, and ensuring that common funds are used judiciously.

2. Transparency: Boards should provide transparent and accurate financial information to unit owners. This involves keeping records, preparing financial statements, and conducting meetings where financial matters are discussed openly.

3. Conflict of Interest: Board members must avoid conflicts of interest and make decisions solely in the best interests of the association. This includes not engaging in activities that could personally benefit them at the expense of the Association.

4. Compliance: Board members are responsible for ensuring that the Association complies with relevant laws, regulations, and governing documents. This may involve staying informed about legal requirements and seeking professional advice when needed.

5. Diligence: Board members are expected to exercise reasonable care and diligence in their roles. This includes staying informed about the Association's affairs, attending meetings, and making decisions based on thorough consideration of relevant information.

6. Maintenance of Common Areas: Board members have a duty to ensure that common areas and amenities are properly maintained. This involves making decisions about repairs, renovations, and overall property management.

Why Enforcing Rules and Regulations is important

When an association is formed, there are a set of documents created that write out the guidelines for the community known as a Master Deed and Bylaws or Deed Restrictions. Many communities will later adopt a simplified version of these called Rules and Regulations.

It is important to follow these as they set the standard for everyone in the community. You cannot let one resident get away with something and not the other. Board of Directors also cannot pick and choose which rules they want to enforce and which ones they don’t.

If you do not follow these guidelines for every resident, you lose the ability to govern the community which may also lead to distrust. As a Board Member it is also your duty to help enforce these rules as well as abide by them yourself.

If these rules are not enforced uniformly you add the risk of lawsuits and other legal actions against the association.
