DESCRIPTION
Specialized Property Management is seeking an experienced, talented and very detail-oriented Office Administrator to join our team at our Dallas location. The Office Administrator will manage all administrative and office functions. This is a unique opportunity to contribute to a strong team in a fast-paced, high-energy office where performance is actively measured, recognized, and rewarded. You will have the primary responsibilities of providing overall administrative services.
POSITION RESPONSIBILITIES
• Welcome and greet guests
• Answer Phones
• Data entry
• Enter new client contracts
• HR Management, applicant assessments & interview candidates
• New Employee Onboarding
• Manage Email & Phone System
• Check the Mail & Rent Dropbox
• Schedule Travel for employees
• Perform background checks and tenant application processing
• Order all office supplies and marketing materials
• Data entry on MLS Listings
• Outlook calendar management for all staff
• Multi-tasking of a significant volume on daily tasks
• Assist in documenting and monitoring internal controls
• Process incoming and outgoing mail
• Schedule and plan all company meetings
• Completing other projects as assigned
REQUIRED QUALIFICATIONS
• Must have a minimum of (5) years’ experience in a professional business environment
• The ability to work independently with minimal direction in a fast-paced, dynamic environment, while effectively managing stress
• Excellent time management skills, punctual, and able to plan and prioritize to meet deadlines under pressure with a natural sense of urgency
• A professional demeanor and presentation with a strong customer-service focus in phone, text, email and in-person interactions with both internal and external associates
• Excellent written communication ability, with strong spelling, grammar and punctuation skills
• Strong work ethic, with an ability to reliably manage a high volume of daily tasks in an extremely organized manner, and with a conscientious attention to detail and accuracy
• A high level of computer proficiency, including Excel, Outlook, and internet research
• Strong references, verifiable work history, and ability to pass a background check
