When did you last read your landlord policy? An annual review can surface gaps before a claim does.

Worth checking: whether dwelling coverage reflects current rebuild costs, whether loss of rental income is included, whether liability limits still fit, and whether risks such as flood, earthquake, or water backup are excluded.

Also confirm the policy is written for a tenant-occupied property. A policy intended for an owner-occupied home may not respond the same way when the property is rented.

Construction costs shift over time, so limits set years ago may no longer reflect replacement cost.

Coverage varies by carrier and policy. Review with a licensed insurance professional.

Why does maintenance run smoothly on some properties and not others? Usually the depth of the vendor list behind them.

For an owner, that shows up as fewer delays. More than one qualified vendor in each key trade means an urgent repair does not wait on a single plumber's calendar. Verified licensing and insurance means the work is properly covered. Vendors who get paid promptly keep answering the phone.

Worth asking about your property: who gets called first, who gets called when they are unavailable, and how are vendors vetted before they are sent out?

Licensing, insurance, and permit requirements differ by state, trade, and project size.

Why does documentation matter? Because it gives both sides a shared, factual record.

The records that help most are created early: dated move-in and move-out photos, written maintenance requests with response dates, inspection reports, and copies of notices sent.

Most tenancies never need them. When a question does come up, good documentation usually answers it quickly and fairly for owner and resident alike.

Records cannot be created after the fact, which is why routine matters more than volume.

Save this as a documentation baseline.

What does a written pet policy usually cover? A few specifics, agreed before move-in.

Common elements include which animals are permitted, any size or breed conditions, documentation such as vaccination records, any pet fees or pet rent where allowed, and responsibility for damage and yard upkeep.

Assistance animals, including service animals and emotional support animals, are addressed separately under Fair Housing law rather than under a pet policy. Requests are reviewed according to applicable requirements.

Pet fees, deposits, and breed or weight conditions are regulated differently by state, and insurance carriers may have their own requirements.

What does your pet policy cover?

Can someone else move in? It depends on the lease, the screening policy, occupancy standards, and local law.

Reviewing a request usually means checking occupancy limits, applying the same screening used for any adult applicant, and documenting an approved change through a lease amendment.

Informal move-ins create gaps, since an undocumented occupant may have no obligations under the lease.

Occupancy standards must comply with Fair Housing requirements, including protections for families with children, so limits should be based on the property rather than on who the occupants are.

Save this for the next time the question comes up.

What is the safest way to write a rental listing? Describe the property, not the person you picture living in it.

Federal Fair Housing law protects race, color, national origin, religion, s*x, familial status, and disability. Many states and cities protect additional categories, such as source of income.

Phrases about who a home is "perfect for" express a preference about occupants, which is where problems usually begin. Most issues come from casual wording rather than intent.

Focus on square footage, layout, features, location, and lease terms. That is also what prospects actually need to know.

Review listing language against the requirements that apply in your market.

Save this before your next listing goes live.

Can an owner enter an occupied rental? Only under the terms of the lease and applicable state and local law.

Entry rules generally address how much notice is required, how that notice must be delivered, what reasons are permitted such as repairs or showings, and how emergencies are treated.

These requirements vary widely. Some jurisdictions require written notice and a set number of hours, and a verbal heads-up may not satisfy the standard.

Following a documented process protects privacy and keeps records consistent.

How much should a rental property hold in reserve?

There is no single number that fits every property. Start with monthly operating expenses, then consider the property’s condition, the age of major systems, and any larger repairs on the horizon.

Review the plan after a major repair, a meaningful expense change, or new information about a roof, HVAC system, plumbing, or another major component.

Reading a property statement? The detail above the bottom line usually tells you more.

Five worth a closer look:

Maintenance costs, which may reflect deferred work finally completed
Vacancy loss, where your statement reports it, which points to pricing or leasing
Management fees, best read against the services provided
Capital expenses, which are treated differently from routine repairs
Reserve contributions, which are funds set aside rather than spent

Statement formats and accounting methods vary, so not every statement shows these the same way.

Save this before your next statement review.
