Job Description: Oliver Resources, a real estate management, auction and gas leasing development company is looking for an Office Manager / Bookkeeper to manage bookkeeping and office-related tasks for our general operations. This position is mostly at the Oliver Resources Offices located in Adamsburg Pa with the flexibility to work remote on Fridays.
Responsibilities are:
Record financial transactions (income and expenses) and coordinate budgets using online accounting systems (Quickbooks, Expensify, and Buildertrend).
Ensure proper invoicing, payments and receipts
• Utilize templates to draft and edit contracts, subcontracts, and other real estate documents.
• Manage human resource reporting, payroll, and paid-time-off.
• Preparation of monthly financial statements for internal review, and monthly pay applications and invoices for submission to clients and tenants.
• In communication with the President to coordinate payment of accounts payable items and secure tax information, lien waivers and insurance certificates from subcontractors.
• Oversee vendor relations for software subscriptions and similar office expenses and platforms.
Provide monthly reports on individual property payments/expenses, overall financial reporting of profit and loss monthly, collection reports
Collect past due payments and oversee collection efforts
Ensure bills are paid on time
Send out late notices
Report on delinquencies and collection efforts
Assist President with administrative tasks as needed
Support the administrative needs of office personnel upon request
Participate in and report at weekly and monthly meetings
Salary & Benefits: $17 an hour depending on experience. Reiimburse 80% health, vision, and dental premiums or medical expenses.
• 1 to 4 years of relevant administrative and bookkeeping education or experience required
• Quickbooks experience required,
• Experience with Microsoft Suite (Excel, Word) or Google Suite (Sheets, Docs) required.
• Real Estate experience is strongly preferred.
• A willingness to learn new skills, wear different hats, and collaborate in problem-solving.
• Meticulous attention to detail and an honest, effective communicator.
• Prior to employment, candidates must show proof of COVID-19 vaccination.
Excellent team working and communication skills.
Ability to juggle multiple priorities and tasks without frustration
Strong skills in customer service
