🌧️ Rainy Season Reminder: Stay Safe and Be Prepared! ☔

As we head into the rainy season, a little preparation can go a long way in keeping you and your family safe and comfortable.

Before heading out, remember to:

• Bring an umbrella or raincoat to stay dry during unexpected showers.
• Check the weather forecast before leaving home.
• Wear appropriate footwear with good traction to prevent slips and falls.
• Allow extra travel time as roads may be wet and traffic can be heavier than usual.
• Keep your phone charged and carry a portable power bank if possible.
• Drive carefully and reduce speed during heavy rain.
• Secure outdoor items around your home that could be blown away by strong winds.
• Have emergency supplies ready including flashlights, batteries, and basic first aid items.

The Board Member Job Description!

THE BASIC FUNCTIONS: SUMMARY
1. To be, and act as, a Trustee. A Trustee is an individual given the authority to administer property, along with the obligation to do so responsibly.
2. As a member of the Board of Directors, each Board member serves as a Trustee of the corporation. This includes responsibility for preserving, protecting, maintaining, and enhancing the Association’s common elements, and for managing the Association in a business-like manner consistent with its governing documents.
3. Each member, acting in concert with the full Board, shares responsibility for ensuring that day-to-day operations reflect these obligations. Through leadership and example, Board members should continuously develop their skills and uphold the highest level of professionalism. They are also expected to promote strong business and ethical standards—for themselves and on behalf of the Association.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The Board member, as part of the Board of Directors, shall help ensure the preservation and enhancement of the common elements and the overall owner/resident experience, with appropriate budget awareness and operational oversight, by ensuring the following are carried out:

Set Policy
Setting policy is the primary way Boards establish direction and tone for the community—now and into the future. All policies should align with the Board’s role as Trustee and comply with the governing documents.
• Primary policies: Develop policies that guide the overall management and administration of the Association (e.g., adopting a policy governance model).
• Ancillary policies: Establish fair and consistent approaches to recurring issues such as architectural guidelines, landscape standards, clubhouse use, violations, and assessment collection.

Follow the Governing Documents
Ensure the Association operates in accordance with its governing documents, including requirements related to meetings, elections, budgeting, common area use, and restrictions.

Adhere to Applicable Laws
Comply with all applicable local, state, and federal laws, including relevant corporate statutes.

Financial Management
Sound financial management is a core duty of a Trustee. “Proper” means the budget reflects financial reality—not wishful thinking.
The Board’s responsibility is not to keep assessments artificially low for political or personal reasons, but to manage the Association’s finances in the best interest of the community—both now and in the future.
• Assessments: Ensure assessments are collected in accordance with the budget, governing documents, and applicable laws, in a business-like manner.
• Budgeting: Prepare and execute a realistic annual budget based on actual expenses, including appropriate reserve contributions.
• Reserves: Maintain adequate reserve funds to support the long-term preservation and maintenance of the community.
Owners and Residents
• Resident relations: Foster positive relationships with owners and residents on behalf of the Board and the community.
• Communication: Ensure regular, accurate, and relevant communication through appropriate channels (website, newsletters, notices, e-blasts, etc.)

Vendor Management
Ensure contractors are properly vetted for quality, reliability, licensing, and insurance prior to engagement. Board members should also ensure vendors are treated professionally and paid according to contract terms.

The Wrap
Each Board member is an integral part of the business leadership of their community, responsible for protecting and maintaining its physical assets and financial health—not just for today’s residents, but for those 10, 20, even 40 years into the future.
Being an effective Board member requires attention, thoughtfulness, and the discipline to manage both short- and long-term responsibilities. It doesn’t just sound important—it is important.

And yet, many people join Boards for less-than-ideal reasons—their own agenda (“lower the dues!”), or simply because no one else will do it—without fully understanding what the role requires.
While this job description outlines the core functions of a Board member, we all know that’s only part of the story. In the coming months, we’ll explore the additional skills and expectations necessary to truly serve a community well—and to do the job right.

Have you ever looked at a date on a food package and wondered whether it's actually expired? You're not alone.

Many food date labels are about quality, not safety. Understanding what they mean can help reduce food waste and save money.

📅 Sell By – Intended for stores to manage inventory. Food may still be good after this date if stored properly.

📅 Best By / Best Before – Indicates when the product is at its best quality or flavor. Many foods are still safe to eat after this date.

📅 Use By / Expiration Date – More important for perishable foods and should be reviewed carefully.

Before throwing food away, remember:
• Look for mold, discoloration, or unusual texture.
• Smell it—if it smells off, don't eat it.
• When in doubt, throw it out.

💡 A few simple habits can help reduce waste:
• Buy only what you need.
• Use older items first.
• Freeze foods before they spoil.
• Repurpose leftovers and ingredients whenever possible.

As you enjoy the pool this season, please remember that there is NO lifeguard or pool attendant on duty at any time. Use of the pool is at your own risk.

⏰ Pool Hours
• Monday: Closed until 1:00 PM for weekly cleaning, then open from 1:00 PM – 9:00 PM
• Tuesday – Sunday: 9:00 AM – 9:00 PM

For everyone's safety, please follow all posted pool rules:

• Children under 12 must be supervised by an adult at all times.
• No running or horseplay.
• No glass containers in the pool area.
• No smoking in the pool area.
• No pets inside the pool enclosure.
• Proper swim attire is required.
• Residents are responsible for the conduct of their family members and guests.

Here's what you need to know before you head out:

☀️ Summer Full Schedule kicks off today, May 29 — open Monday–Sunday, 11:00 AM–9:00 PM (closed Thursdays for cleaning).
🍂 Weekend-Only Hours begin August 15 through Labor Day, September 7 — Saturdays & Sundays, 11:00 AM–9:00 PM.
🔑 Don't forget:
• A Crown Colony pool key/badge is required for entry
• Maximum 2 guests per household
• After May 25, keys/badges must be requested through management
• Tenants must have a signed homeowner approval letter on file
