JOB SUMMARY, DUTIES AND RESPONSIBILITIES, JOB REQUIREMENTS

SUMMARY

Responsible for helping to maintain the entire property in an attractive, comfortable condition.

DUTIES AND RESPONSIBILITIES

1. Assists in trash pickup on the property.

2. Assists in all types of maintenance, when necessary and as requested.

3. Assists in completing the turnovers/make-readies of vacant units, as requested.

4. On-call in accordance with scheduling to handle maintenance emergencies from residents and property emergencies

5. Assists with resident functions, as requested.

6. Complete all duties regarding make-ready/vacant units.

7. Service appliances, as requested.

8. Services general plumbing and basic electrical needs of the property to include replacing/fixing toilets, light switches, garbage disposals, ceiling fans, etc.

9. Rekey locks, as requested.

10. Assists in maintaining inventory of tools, equipment and supplies.

11. Replace burned out light bulbs, broken globes, etc. in units and throughout the exterior of the property, as needed.

12. Performs corrective maintenance and satisfied residents’ needs following company procedures when performing service requests.

13. Observes the condition of the apartment and reports any unusual circumstances (size/number of pets, unauthorized occupants, illegal activity, etc.)

14. Observes the condition of property in general and reports any unusual circumstances.

15. Makes regular inspection of the grounds, buildings, plumbing, electrical fixtures, appliances and major equipment, as directed.

16. Should be familiar with the location of power, water and gas turnoff valves, clean-out traps, fire extinguishers and fire hydrants on the property.

17. Enters occupied apartments to perform necessary repairs.

18. Cleans up thoroughly after performing work.

19. Notifies Maintenance Supervisor and/or Property Manager, as directed, regarding any supplies necessary to complete service requests.

20. Performs pool and spa maintenance, as directed.

21. Follows company procedures regarding safety and emergencies.

22. Attends employee meetings and training seminars, as requested.

23. Wears company uniform and badge during work hours.

REPORTING

1. Reports to the Maintenance Supervisor and Property Manager on a regular basis, as directed.

2. Maintains good relationships with other staff members, working with the Leasing Office and under the direction of the Maintenance Supervisor.

3. Maintains good rapport with outside contract vendors working on the property.

4. Maintains good rapport with current and prospective residents.

REQUIREMENTS

1. High School diploma or equivalent.

2. Above average written and oral communications skills.

3. Ability to communicate effectively in the predominant business language, English.

4. Reliable transportation.

5. Valid Driver’s License.

6. Provides/uses own tools.

7. Always uses good safety habits.

8. Neat, clean appearance.

What we are looking for
Profectus Multifamily is looking for a dynamic and experienced Property Manager to lead the operations of an assigned apartment community. The Property Manager will be responsible for staff performance; marketing, leasing, collections to generate revenue; resident relations and customer service to manage resident retention and satisfaction; administration of property maintenance, and capital improvements to maintain aesthetics and manage expenses; compliance with applicable local, state, and federal regulations.

Responsibilities Include
Manage the financial performance of the property by overseeing rents, occupancies, and expenditures. Supervise resident retention, renewal and leasing programs to maintain maximum occupancy. Ensure compliance with Profectus Multifamily Company policy, as well as federal and local regulations. Foster and maintain positive tenant relations through site visits, tenant meetings, correspondence, newsletters and by being accessible and providing timely and effective service and response.
Monitor tenant compliance with lease agreements and resolve problems and concerns.
Work with Accounting to manage the accounts receivable process and ensure timely, appropriate resolution of tenant-related outstanding receivables involving dispute reviews and defaults.
Liaise with the Construction Department on all landlord construction projects.
Maintain property to expected standards and show Pride of Ownership.
Request approvals for purchases to the accounting department.
Oversee move in and move out processes with tenants assuring that all items are completed. Works to achieve maximum performance based upon annual goals to increase revenue and other income. Ensures that all applicable deposits, rents, and other fees and ancillary revenues are collected and deposited. Participate and manage marketing efforts to increase occupancy and effectiveness.
Interact closely with the Maintenance team to manage property maintenance programs including promptly and courteously responses to resident requests for maintenance.
Provide an adequate supply of market ready apartments to meet the leasing efforts.
Achieve the highest possible net operating income through the implementation of effective cost control and revenue improvement programs.
Accurately create, prepare, and convey all operational and financial data.
Be responsive and receptive to owners' and Profectus Multifamily Corporate teams’ needs, goals, and objectives. Maximize rental income while minimizing expenses through effective planning and control.
Effectively monitor all income, including delinquencies and the timely receipt and reconciliation of rent collections and ensure landlord/resident statutes are followed.
Effectively maintain product knowledge of community and competitive communities through consistent evaluation of market conditions and trends.
Ensure that an adequate number of units are market ready.
Assist and ensure all customer complaints are handled promptly and appropriately.
Manage tenant move-ins and move-outs, and "walk-through" spaces with tenants and the tenant improvement department.
Prepare and delivers timely, accurate and complete reports and legal notices
Perform Evictions.
Assumes additional responsibilities and performs special projects as needed or directed Ensure that property is ready for City Inspections.

Supervisory Responsibilities
Supervises all on-site staff, including hiring, training, supervision, scheduling, and corrective measures. Mentor and train the staff on property management skills and concepts modeling effective leasing and customer service techniques to include maintenance expectations.
Motivate, direct, and evaluate personnel and handle all employee related concerns.
Delegate staff responsibilities and maintain set deadlines to be efficient and effective with property objectives.
Ensure staff hours are inputted regularly to meet payroll deadlines.
Ensure leasing staff develops knowledge of community and competitive communities.

Requirements
High school education or equivalent is required; a college degree is a plus but not a requirement. Excellent interpersonal communication skills, including the ability to motivate and lead a team. Professional demeanor and appearance.

Assists the Community Managers with renting the apartments to meet or beat the occupancy goals. This includes, but is not limited to: conducting tours, gathering required verification, and processing new applications.
Assists the community managers in maintaining occupancy levels.
Provides tours, performs interviews and responds to mailings and phone calls.
Prepares move in files.
Complete all move-in paperwork including the lease and accompanying addendum in accordance with onsite procedures.
Assists with incoming/outgoing calls as needed.
Reviews resident notices to vacate and advises residents of their responsibilities.
