EXECUTIVE ASSISTANT OVERVIEW

• We are looking for a versatile and highly-organized Executive Assistant to perform personalized administrative duties for Team Leader for real estate industry company.
• The ideal candidate will be organized, a specialist at administrative support and a team player who can efficiently work with all levels of employees.
• To ensure success as an Executive Assistant, you should exhibit excellent organizational skills and demonstrable experience in a support role.
• The Executive Assistants should be intuitive to the needs of the Team Leader and work autonomously to provide customized administrative support.
• You will work on a one-to-one basis on a variety of tasks related to Team Leader’s professional and personal life, and communicate with the team on behalf of the Team Leader on a daily basis.

PRIMARY RESPONSIBILITIES

• Daily Start-of-Day Telephone Call with Team Leader (follow Ups with Team Members)
• Monitor all Task & Project deadlines; track entire processes, communicate any potential issues
• Manage Team Leader calendars: Keep Team Leader apprised of calendar, action items, messages, etc.
• Screen incoming Team Leader calls & email correspondence. Determine the priority & time sensitivity and respond appropriately; add calls/emails to Daily Contact log
• Make recommendations as needed regarding appropriate action and follow-up.
• Gather emails, voicemail messages and phone messages, taking initiative on appropriate action or routing to appropriate person
• Ensure smooth operation of systems and processes for Team
• Ensure that all systems and processes run efficiently, and make revisions as needed
• Prepare and coordinate agendas, timelines and supplemental material for executive’s meetings, presentations and appointments
• Daily End-of-Day Email/Telephone Call with Team Leader (Follow Ups with Team Members)

REQUIREMENTS

• 2-5 years of experience as an Executive Assistant.
• Ability to manage internal and external correspondence (written and verbal).
• Exceptional interpersonal skills.
• Knowledge of office management systems and procedures
• Ability to multitask and prioritize daily workload
• Discretion and confidentiality
