Tuesday Team Meeting

Every property. Every open work order. Every renewal coming up. Every owner update. Someone's name goes next to each item before anyone logs off.

It's not the glamorous part of property management β€” nobody's photographing a status meeting. But it's the reason a repair request from Saturday doesn't quietly become a repair request nobody remembers by Thursday.

Consistency isn't exciting. It's most of what you're actually paying for.

Owners, settle something for us.

A β€” Finding and keeping good tenants
B β€” Maintenance and surprise repairs
C β€” Late or missed rent
D β€” Vacancy, and pricing it right

Comment your letter. One word is fine.

We'll tally them and post the results later this week β€” curious whether the Permian looks like the national picture or not.

And if your real answer is something else entirely, tell us that instead. Those are usually the interesting ones.

Self-managing has no management fee. It still has a bill. It just doesn't arrive as one.

Management fee β€” $0. This is the only line most owners ever look at.
Longer vacancies β€” days of rent you never get back. Pricing and turnaround are where this gets expensive.
After-hours repairs β€” emergency rates and weekend premiums, because nothing breaks at 10am on a Tuesday.
Unplanned turnover β€” commonly one to two months' rent once you count the gap, the make-ready and the leasing time.
Below-market rent β€” the quietest one. It compounds every single month and you never see an invoice for it.
Deposit disputes β€” legal exposure you carry alone, with whatever documentation you happened to keep.
Your time β€” evenings, weekends, holidays. Priced at whatever your time is worth.

None of this means self-managing is wrong. Plenty of owners do it well. But "saving the fee" is only true if none of the lines above ever show up β€” and over a few years, they all do.

Free portfolio review. We'll look at your numbers and tell you honestly whether the math works for you as you are.

Most owners only ever see two parts of property management: the rent hitting their account, and the call when something breaks.

Here's the other five.

01 Screening β€” verified, not vouched. Income from source documents. Rental history checked against the owner of record, not the number on the form.

02 Maintenance β€” coordinated, never marked up. One report in, the right trade out. Vendors bill you directly and we don't take a cut.

03 Rent β€” collected, cleared, paid out. Funds settle before anything moves. Direct deposit on the same date every month.

04 Renewals β€” started at 90 days, not 30. By the time a 30-day notice goes out, a good tenant has already looked around.

05 Reporting β€” everything on the record. You should be able to see what happened without asking what happened.

If your current setup doesn't cover all five, that's worth a conversation. We'll do a free portfolio review and tell you honestly β€” including if you're fine as you are.

A dripping angle stop is a $90 call. The same valve, six months later, is a ceiling.

That's the whole case for preventative maintenance. Not that things break less β€” they don't β€” but that scheduled work happens at scheduled prices, during business hours, with a vendor who has availability.

How it runs here: one report comes in, from a tenant or from an inspection. We triage it and send the right trade.

β†’ HVAC β€” serviced ahead of each season, not after it fails
β†’ Plumbing β€” leaks caught at inspection, not at 2 a.m.
β†’ Electrical β€” checked at every turnover
β†’ Roof and exterior β€” walked after every hail event
β†’ Make-ready β€” scheduled the day notice lands, so the unit isn't sitting

And the part owners ask about first: vendors bill you directly. We coordinate the work. We don't mark it up and we don't take a cut of it.

You know it's fall in West Texas when…

The first cool front lasts about 36 hours
Friday night plans are decided by a schedule you didn't make
You run the AC and the heater in the same week

Your turn. What's the real sign fall has arrived out here? πŸ‘‡

"When do I actually get paid, and who touches the money in between?"

Reasonable thing to want in writing. Here's the whole path:

Day 1 β€” Tenant pays through the portal. Auto-debit or card. Posted the day it lands.
Day 2 β€” Funds clear. We don't disburse money that hasn't settled, because a reversed payment after a disbursement becomes your problem.
Day 5 β€” Disbursement. Full rent less the management fee, direct deposited, same date every month.
Day 5 β€” Statement posted. Rent, fee, balance β€” itemized in your portal.

Vendors bill you directly, so repairs never come out of your rent check. Security deposits sit in a separate account.

No float. No vague "processing." No line you have to call and ask about.

If your current arrangement can't be drawn this simply, that's worth asking about.

"What am I actually paying you for?"

Fair question. Here's one property, one ordinary month.

1st β€” rent posts, payments monitored
3rd β€” late notices issued, exactly as the lease reads
5th β€” owner statement and disbursement
8th β€” maintenance triaged and dispatched
12th β€” vendor invoices checked against scope, not just paid
16th β€” mid-lease inspection
20th β€” renewal outreach, 90 days ahead of expiration
28th β€” month-end reporting and reconciliation

Plus any hour of any day: the call your tenant makes instead of calling you.

Most of this is invisible when it's working. That's the point. You notice property management the same way you notice plumbing β€” only when it fails.
