Essential Functions:
Recruiting: Develop a pipeline of qualified applicants. Assist candidates with the application process. Conduct preliminary interviews, as well as coordinate and schedule candidate interviews with hiring managers and interview teams. Perform reference checks. Update applicant records in applicant tracking system, maintain required forms and spreadsheets as they move through the recruiting process. Provide follow-ups with candidates on recruiting status via phone and email, and ensure proper follow-up with candidates who are not selected. Manage internal applicants, process and communication to all parties. Attend and coordinate recruiting-related activities such as career fairs, when needed. Develop relationships with area schools. May work with outside resource to establish and maintain online recruiting presence through social media including Facebook, LinkedIn, and other sites. Manage recruiting and onboarding process from application to first formal check-in within associates first 60-days of employment.
Onboarding: Schedule and follow-up on pre-employment testing and background checks. Draft offer letters and extend job offers as needed. Manage candidate and offer packets. Coordinate with hiring managers to ensure paperwork and resources are ready on the first day. Coordinate and conduct onboarding, orientation and first day computer training. Meet with associate on first day to complete new hire paperwork and check-in with new associates until formal hand-off with HR Business Partner.
Other Administrative Duties: Ensures completion of I-9 paperwork and enters information into E-Verify in a timely manner. Enter new hires, status changes, benefits information and any other data into the HR system. Scan associate paperwork into the HR system. Create/review recruiting and onboarding reports as needed to gain insights and analyze trends. Assists associates with general HR questions, administrative data tracking, facilitation of new hire onboarding meetings, coordination of new hire check-ins. Participates in special projects and assists all areas of HR when needed.
Primary responsibilities:
1. Onboarding new employees into our human resource system
2. Making sure new employees have filled out their profiles and required forms correctly and completely in their application
3. Scheduling orientation and training,
4. Reviewing and processing background checks
5. Setting up new employees through our online job calendar
6. File new hire reports with the government
7. Keeping record and managing employee information, such as workers comp or unemployment
8. Keeping record of and managing any internal reports
9. Verify I-9 (virtually with our field manager)
10. Coordinating with our recruiter, project manager and scheduler to ensure all paperwork is done for the employee to start or continue working.
11. Coordinating weekly, quarterly reviews, Yearly reviews
12. Setting up, enrolling and managing benefits administration
13. Assist as needed with miscellaneous personnel records or employee questions
14. Prevent and assist with other labor compliance issues as may arise.
15. Organize and upload any reports into the employee's profile
Additionally and ideally, you would also
17. Approve timesheets and correct as needed
18. Run weekly payroll each week (by make sure the hours and pay rate from our time tracking software have been correctly auto-filled in the payroll processing software in order for our weekly payroll processing, and inquire if there is something unusual compared to the prior week (e.g. someone usually works 20 hours but this week shows 35).
19. Fill out the weekly certified payroll sheet for each employee for each project with the hours and pay for the given week and include proof of pay stubs. (This takes me no more than 30 mins)
20. Be part of our CSR Team as needed
