One Google Doc changed my life…

…it sounds way too simple to matter. It's not.

For years I couldn't hand anything off cleanly. Task, operations, you name it..

I would burn the candle at every end and get so frustrated with myself and others with explaining tasks and how to do things, only for it to not work out.

I'd explain it once, they'd do it wrong, I'd take it back. I would explain it another way, then take it back.

Lose my patience, take it back. Find someone else to do the job, take it back. Over and over and over again….

First I had to come to grips with that it was me. I was the issue. Not them. I need to adjust my approach.

Then I started doing this. It changed everything.

Here's the exact process that helped me unlock how to grow. Steal it.

1. Spend ONE hour writing the single task out in a Google Doc. Every step. Every single little detail. The why behind each detail. What "done right" looks like. What it will feel like. The more details the better.

2. Get on a Zoom with your teammate. Walk through the doc together. Read it line by line.

3. Let them ask questions and make edits…. Together! Now it's not your doc. It's OUR doc. You built the agreement together.

4. THEN they watch you do the task you are asking them to do.. Because you've mastered it and you do it and they need to see how you do it.

5. Then they do the task while you watch.

6. Then they do it on their own and you check in.

7. Then they do it so well they teach the next person.

That's the whole system.

Notice what it's NOT. It's not "here, figure it out." It's not "watch me once and good luck."

It's co-authored. It's repeatable. It walks them from watching to teaching.

By step 7, that task is fully off your plate. Forever. And it's documented for the next hire too.

So here's the practical step.

Pick the ONE task that drains you most. Open a Google Doc. Start with step 1 this week.

One hour now buys you back HUNDRED of hours later. I learned that the hard way. (recovering control freak)

Also don't try to skip steps… It's gonna backfire. You can't skip any steps.. I have tried so hard to skip steps.. Never works out.

Your reviews are too OLD...

And AI is watching you.

If your reviews are old, AI may not see you as ACTIVE.

Keep a consistent inflow of recent reviews instead of getting a ton all at once…

Recent reviews give AI more data to verify that you’re active.

Stop trying to win the client on the FIRST appointment…

…because you probably haven’t spent enough time together to earn their trust.

I get it, you’re trying to close someone… but they’re still wondering if they can TRUST you.

You don’t need another questionnaire or leverage hack. You need TIME.

First visit they’re guarded. Third visit? You’re basically best friends.

3 hours… That's all you need.

They don't. They're drowning in too much.

I get it… It’s easy to keep adding things when we feel like we need to move forward.

But instead, focus on the resources and relationships you already have.

Recency rules EVERYTHING...

And this is easy to forget.

If you’re connecting with people but not asking for reviews, you’re missing an opportunity.

Next time you sit down with someone, challenge each other to get reviews.

Write it down. Put it on a sticky note. Keep it top of mind.

I stopped mid-text again…

…you know the text I'm talking about.

The name you scrolled past three times this week. That lead or that SOI that said they needed help wayyyy too long ago.. It’s the lead you've been thinking about texting for a month.

When that feeling hits me this is what I usually do:

Open my phone. Scroll to a name. Start typing.

Then I stop.

I get the same thought every time. "It's been too long. They're going to think I only reach out when I want something. They probably don't even remember me."

Close the message. Put the phone down. Sit with the story I just SOLD myself.

In home sales: If I don’t reach out, the lead almost always worked by another agent. In recruiting: If I don’t reach out the lead almost ALWAYS goes to work at another company….

Here's what I've learned.

Every single time I push through and text them anyway, they write back.

Sometimes in seven minutes. Sometimes in seven hours. Almost always the same day.

And almost every time, they're the ones who say it'd been too long…

The story you tell yourself about why they haven't heard from you is almost ALWAYS wrong.

They're not judging. They're busy. Same as you. Life always goes on without you.

Reaching out isn't awkward… The building-up the weird story in your head is.

The people in your phone aren't waiting for someone with perfect timing or messaging in their texts or emails... They're waiting for you to send it.

Don't over think the message. Don't workshop it.

Just send the one that is honest.

"Hey, this is random. I was just thinking of you. How's life?"

That's it. That's the whole text.

Pick one person before noon.

Don't pick the EASY one. Pick the one you've been avoiding.
