There has been much progress with the transition to FirstService Residential as our new Property Management provider. Unfortunately, there have been delays with FirstService receiving all our records from our previous Property Management provider. Hopefully, the data transfer will be completed this week and FirstService can finish setting up all our records in their systems.

In the meantime, here’s what homeowners need to know:

- The delay in receiving our information impacted the set-up of the new online payment system. That system should be available after Friday, Feb 8. Checks can be mailed to our new lockbox service, (P.O. Box 66728, Phoenix, AZ 85082), mailed to FirstService (3424 Paesanos Parkway, suite 100, San Antonio, TX 78231) or dropped in the office drop box. Details on using each option were emailed to homeowners earlier this week. Because of the delay, late fees will be waived for the month of February.

- The Resident Portal is expected to be available soon. Once it goes live, homeowners will be able to check their account balances, view transaction history, request maintenance and more. You can visit www.fsresidential.com for more information. The link to the portal and directions on how to register will be sent as soon as the site is live.

- The 24-Hour Customer Care Center is available now. Please call 210-829-7202. When setup is complete, the representatives will have full access to all your records. In the interim, they may not have all the information to answer all your questions but it will available soon.

- Board meetings are being moved from the 3rd Tuesday to the 4th Tuesday. The next meeting will be on February 26 at 6 pm in the clubhouse.

- Our Annual Meeting will be on the 3rd Tuesday in March. Mark your calendars for March 19 and watch for more information.

The Board appreciates your patience during the transition. We all hoped that the records would have been transferred sooner and all the great benefits we will enjoy from FirstService Residential would have been available on time. The team there is working hard to get us on track as soon as possible.

ANNOUNCING OUR NEW PROPERTY MANAGER
The Woodbridge Board of Directors is pleased to announce that FirstService Residential will be our new Property Manger effective February 1, 2019. FirstService is the leading manager of residential properties in North America. They have the expertise to more effectively manage our property and provide excellent customer service to homeowners.

In our search, the Board was looking for a new management company that would offer end-to-end service and be able close the loop on homeowner requests. We wanted a company with advanced technology for logging, tracking and reporting on maintenance requests. We also looked for an organization that could respond to urgent needs and have the manpower to handle all requests regardless of the issue. We believe FirstService meets all those requirements.

FirstService will begin managing Woodbridge on Friday, February 1. If you have questions or comments, please wait until then to contact them. They are currently getting our information and records set up in their system. We are making the transition in a much shorter period of time than is customary so please be patient as we get ready for the launch. If you need anything in the meantime, please continue to use our current process.

Between now and February 1, homeowners can visit the FirstService website at www.fsresidential.com to learn more about their staff, company and business philosophy. While FirstService is based in Florida, their Texas headquarters is in Dallas and their office here in San Antonio employs more than 70 people. All our business, including property management and accounting, will be handled in their San Antonio office. Your Board is confident FirstService has the processes, resources and infrastructure to effectively manage our property.

Cas Bernal, our on-site Maintenance Manager, will continue in his position. In addition, our FirstService Portfolio Manager will be here on-site for several hours each week to manage the transition.

Look for more important information later this week. FirstService will be sending out everything you will need to know about paying your monthly assessment, signing on to their Customer Portal, calling the Customer Care Center and more. They will provide additional updates to homeowners as they begin actively managing our property. FirstService representatives will be at the February Board meeting to meet you and tell you more about their services.

ANNOUNCING OUR NEW PROPERTY MANAGER!

The Woodbridge Board of Directors is pleased to announce our new property manager. After an extensive review with multiple companies, both large and small, we have signed a contract with REPM Association Management.

REPM is a local, family-owned Property Management company specializing in condominium and neighborhood association management. Brad Smilgin, Diane Smilgin and Dorothy Suberg are committed to providing responsive service and helping us maintain Woodbridge as the quality place we call home. Cas Bernal, who has been with us for nearly 10 years, will continue as our on-site Maintenance Manager.

REPM will be taking over management of our property on February 1st. For now, please continue to pay your HOA assessments and utilities the same way you have paid them in the past. We will send additional information about changes to process soon.

We are planning a gathering in the near future so you can meet Brad, Diane and their team in person. Watch this space for more news!

Dear Woodbridge Homeowners and Residents,

HAPPY NEW YEAR! Your Board of Directors wishes you all the best for a prosperous and healthy 2018!

For most people, the New Year brings changes. Some of those are chosen and some just happen. Some are great news and others are unwelcome. The Woodbridge community will experience unexpected changes in 2018 as well. The Woodbridge Property Manager, Walden Management, notified the Board in December that they would be leaving when their current contract expires at the end of January 2018. As hard as it was to accept their resignation, the Board is pleased they are leaving our community in such great shape. In addition, they are leaving for the best of reasons – to spend more time with their family. Tammy and Lawson welcomed their first grandchild in 2016 and look forward to their daughter giving birth to twins in February.

Tammy and Lawson Walden have worked with Woodbridge for almost 10 years. During that time, they have managed significant improvements to our property and to our finances. Here are highlights of some of the major projects completed during their tenure:

- Clubhouse air conditioning, foundation and roof replaced
- Clubhouse interior and bathrooms remodeled; new furniture purchased
- Phase 1 pool: decking and fences replaced, lighting upgraded
- Building exteriors repainted
- Roofs replaced
- New asphalt on all driveways
- Addition of dog park
- Renovation of Sports Court
- Upgrade and renovation of swimming pools
- Too many landscape projects to remember
- Far too many plumbing repairs to even imagine

Even with all these completed projects, Walden Mgt. has managed our expenses and budget to make sure we have not only paid for day-to-day projects and capital improvements but that we also saved for our future needs. When the Waldens came on board in 2008, the Association had less than $40,000 in reserves in the bank. When they leave at the end of January, we will have more than $230,000. We owe Tammy and Lawson a tremendous debt of gratitude for all their hard work and dedication during their time with us!

So, what’s next? The Board is already searching for our next Property Manager. We have already interviewed several good candidates and are working our way through the selection process. We will update you as soon as possible but we expect to have the new managers in place by February 1. We will notify you of any changes in procedures but for now, you should plan on making your February HOA payment the same way you have in the past.

To the Woodbridge Community from Tammy and Lawson

After careful thought and consideration, Lawson and I have decided due to personal demands of our time, that we must resign from the management of Woodbridge. We will work to assist the Board in making a smooth transition to the new management company.

Woodbridge is a very special community and it has been gratifying to have been a part of the improvements and the increases in property values. We have enjoyed working with owners and the friendships that we have made over the nearly ten years we have served as the management to Woodbridge Condominiums.
