What is Pet Screening?😺

Pet Screening is a simple and secure way to manage important information about your Pet or Assistance Animal. If you have No Pet or Animal you are required to complete the screening process at no charge ($0) to acknowledge applicable no pet policies.

The pet application fee is $20 for the first pet and $15 for every additional pet. Each pet application must be processed separately but the discount will be automatically applied to additional pet applications.

There is no charge ($0) for submitting a reasonable accommodation request for an assistance animal. It will be reviewed by our legal review team per the FHAct guidelines.

Seven Reasons To Inspect a Rental While Occupied. 🧐

So often a rental property goes uninspected by the landlord because of a lack of time, attention, priority, you name it. We hear of different situations all the time. But they are so important. I'm going to share with you seven reasons why.

Accountability
When we inspect the property and they know that we’re going to inspect it, something interesting happens. They will take better care of the property simply because they know that at some point the landlord, the property manager, is going to be visiting to check on it.

Relationship
It’s a way to gain trust and to retain tenants when you can go in there and you can get to know them a little bit more, see how they're doing. Sometimes they're not present when you do an inspection, that’s okay, but when they are, make it a relationship-building opportunity.

Yard and Landscaping
Make sure that things are being taken care of. Provide training to the tenant if it’s not and set some expectations. It can be costly to replace landscaping.

Exterior Condition
Exterior condition, beyond the landscaping, checking the roof, downspouts, the gutters, the extensions from the spouts, checking the window wills, the foundation, the fencing, making sure that things are taken care of and that you have don't have any deferred maintenance that needs to be taken care of with the siding, cracks in the driveway, those sort of things.

Interior Condition
Are there issues with the toilets, with water lines on the ceiling from maybe a roof leak?

Lease Violations
We tell tenants that we do inspections to make sure that the property’s taking care of them, which is what I went over already, and that they're taking care of the property. We want to make sure there’s no smoking going on if there’s not supposed to be, unauthorized occupants and pets, other issues that are outlined in the lease agreement.

Routine Maintenance
What a great opportunity for you to go to the house as the landlord, as the property manager, to change filters, change smoke detector batteries, some of those routine things that are just nice to do because you're already there. It’s a great opportunity.

How Does Keyrenter Do Inspections? 👀

This is what we do. First, we provide a five-day notice of these inspections. You don't need to worry because we have it in our lease agreement to avoid misunderstandings with the tenants.

Keyrenter does a walk-through where we have a move-in and a move-out checklist with all the equipment the property may have. We also like to talk to the tenant to see if there’s anything that they’ve noticed, anything strange, or any repairs that needed to be addressed.
To make this an efficient way, Keyrenter records a video that helps us to have a clear picture of the property condition therefore you can have before and after images.

Our clients appreciate these videos, much more than just receiving a checklist.

As a tip, if you are going to do these inspections by yourself you need to make sure it is in your lease agreement as well as taking photos and video.

Should I Add my Property Manager to My Insurance Policy? 📄

The answer is an emphatic YES
You need to add your property manager as additional insured in case you and/or your property manager are sued by a neighbor, tenant, visitor, etc. for something related to the property. A property owner is required to pay their property manager’s legal fees and this will come out of your own pocket if your property management company is not added to your insurance policy. In addition, it is much better to have a unified defense and coverage extending to both parties.

Furthermore, as the policy is converted to a rental policy, adding your property manager as an additional insured will be easy to do and is very common. Often insurance carriers give discounts to owners hiring professional management companies because they view this as reducing their risk when a professional manages a major asset.

Benefits of Full Month Accounting for the Property Owner 📋

Payments made to the owner come in at the very first of the month, each month, regardless of the sometimes sporadic payments made by tenants. This consistency provides rental owners peace of mind and a less stressful experience.

Owner statements run from the 1st to the end of the month. This means owner statements are much cleaner and easier to understand, A year-end statement of Dec 31st is also better for income tax filing purposes.

If a tenant does not pay the rent, the owner will know 30 days in advance. This way the owner can be better prepared for such an event, instead of knowing a few days before you are scheduled to receive your deposit. It makes an unfortunate situation much less stressful.

No more waiting for a lingering utility or partial payments to come in from the tenant throughout the month since all payments will be collected and pooled for the end-of-month payment.

Since owner funds come well before a mortgage due date, (most mortgages due by the 15th of the month) the owner will have plenty of time to make their payment and not be rushed waiting on the rent deposit to make a payment deadline.

The property management company will have enough funds on hand to pay for repairs. With Mid Month Accounting, if a larger bill comes in, the PM cannot pay it. Since the PM company needs to pay vendors and contractors promptly, having funds available prevents delays while an owner sends in money. Not having enough funds on hand to manage a property is inefficient and leads to unnecessary delays.

Begin with an apology and thank the reviewer for sharing his or her thoughts.
Acknowledge the results of the negative experience so the reviewer knows you fully understand what happened.
If appropriate, explain – not an excuse – for what happened (i.e. “our truck was in an accident and couldn't get your order on time, and we're sorry we didn't have a contingency plan in place to get you what you needed”).
Explain what you’ll be doing to ensure the problem is addressed and does not continue to happen.
Include next steps and, if needed, your email address so the reviewer can follow up with you if he or she wants to discuss more.
