 File monthly Financial Statements
 Administrative support to Director of Accounting
 Filing as needed
 Scan/enter payables into CINC Accounting Software resulting in multiple small check runs weekly that are mostly for utilities/insurance that are also monitored daily for timely payment processing
 Emailing copies of monthly utility bills to Managers
 Maintain copies of vendor invoices with contact information to obtain updated vendor insurance for payment processing
 Track/Enter copy logs
 Open/sort utility bills
 Check director/Collection desk voicemail messages when they’re away and assist in calling back homeowners and vendors with account questions

The HOA Administrative Assistant must understand the importance of providing outstanding customer service and be able to interact effectively with owners. This is an entry level position for either part-time or full-time employment, with room for growth. The position requires a high level of technical proficiency and accuracy. We are looking for a self-motivated professional who maintains the highest of business ethics and safeguards confidential information. The ideal candidate is detail oriented with exceptional organizational, multitasking, problem-solving and proactive follow up-skills, adherence to deadlines, and excellent computer skills.

The main responsibilities of this position includes, but are not limited to: handle homeowner inquiries and requests by phone/email/in person, coordinate vendor work orders, document management, preparation of correspondence and notices, and assist in various homeowner related matters in support to the community manager.

Qualifications:
•Minimum one year of customer service experience
•Proficient in Microsoft Office; Word, Excel, Outlook
•Excellent writing and verbal skills
