THE BEST TC SKILLS AREN’T ALWAYS “TASKS.”

They’re knowing how to communicate.
Knowing when to step in.
Knowing when to give space.
Knowing how your agent works.
Knowing how to stay calm.
Knowing how to make the complicated feel a little simpler.

You won’t find all of that on a service menu.
And honestly? Those are some of my favorite parts of the job.

The scariest email in real estate might not look scary at all. No obvious typo. No strange email address that immediately sets off alarm bells. No dramatic “YOU’VE BEEN HACKED!” warning.

Instead, it might look completely normal. And that’s exactly what makes wire fraud so dangerous.

With AI making impersonation and fraudulent communication increasingly convincing, “it looked legitimate” is no longer enough when money is involved.

A fraudulent message could include a familiar name, believable language, transaction details, and just enough urgency to push someone to act before they stop and verify.

That’s why I’m a big believer in setting expectations with buyers before wiring day arrives.

🔐 Never rely solely on wiring instructions received by email.
📞 Verify instructions using a trusted phone number obtained independently, not the contact information provided in a suspicious email.
🚩 Treat unexpected changes to wiring instructions as a major red flag.
⏰ Be cautious when a message suddenly creates urgency around sending money.

And most importantly, when something feels different, stop and verify before taking action.

As a Transaction Coordinator, protecting the transaction isn't only about keeping up with dates, documents, and signatures. It also means helping reinforce good processes and communication throughout the transaction.

Because this October, I'm much less concerned about ghosts in the inbox... and much more concerned about an email pretending to be someone it isn't. 👀👻

Realtor friends, you’re going to want to save this one and share it with your buyers. A quick conversation about wire safety before closing could prevent a very expensive mistake.

I won't tell anyone you hired a Transaction Coordinator... but there might be a few signs. 👀😂

You stop mentally calculating contract deadlines while you're making dinner.
You can walk into a showing without wondering whether someone ever responded to that email.
Your clients are getting updates even when you're sitting across the table from another client.
You have time to follow up with the lead you've been meaning to call.
And maybe...just maybe...you make it through an entire evening without opening your transaction inbox. 🙌

I've learned that one of the biggest benefits of having an experienced TC isn't simply getting tasks off your checklist. It's getting the transaction out of your head. Because if you delegate the work but still have to remember every deadline, check every follow-up, and make sure everything was completed... did you really delegate it?

Be honest… Which sign would make you realize your Realtor friend finally hired a TC? 😂

1. They stopped checking their inbox at dinner
2. They suddenly have time for lead follow-up
3. They actually took a day off
4. They stopped saying “I have to handle one quick transaction thing”

I’m voting for #4. 👀

🍂 OCTOBER TRANSACTION TERM: CONTINGENCY 🍂

Some real estate terms sound scarier than they actually are. 👻

CONTINGENCY

A contingency is a condition in a purchase contract that must be satisfied—or addressed according to the terms of the agreement—for the transaction to move forward.

Common contingencies may include:

🏡 Home inspection
💰 Financing
📊 Appraisal
🏠 Sale of the buyer’s current home
📄 Review of certain property documents

Contingencies can give buyers and sellers important protections, but they also come with deadlines and specific requirements outlined in the contract.

✨ TC TIP: Those contingency dates matter! Your Realtor and Transaction Coordinator work behind the scenes to keep track of deadlines and make sure the appropriate steps are completed along the way.

Because the only thing we want haunting your transaction is a cute Halloween decoration — not a missed deadline. 🎃👻

Okay Realtors, I have a few TC hot takes. 😂 And I’m curious how many of these you agree with…

🔥 Your inbox is not a transaction management system.
If you have to dig through 47 emails to figure out where something stands, we have a problem. 😂
Your inbox is for communication. It should not be where your entire transaction lives.

🔥 “I sent the email” doesn’t mean it’s handled.
Sent, received, answered, and resolved are four very different things.

🔥 Your clients don’t need every single behind-the-scenes detail.
They need to know what’s happening, what they need to do, and what comes next. Clear communication > information overload.

🔥 Not everything is urgent.
Some things need to happen today. Some things need to happen right now. And those are not the same thing. 😂

🔥 You don’t have to do everything yourself.
Being capable of doing something doesn’t automatically mean you should be the one doing it. Sometimes the smartest thing you can do for your business is decide what actually deserves your time and attention.

Good systems, clear communication, and having the right support can make the whole thing feel a LOT more manageable. Now I want to know… Which one are you agreeing with immediately, and which one are you ready to argue with me about? 😂

Drop the number below.

And if #5 made you think, “Okay… maybe she has a point,” send me a message; I would love to chat!

A smooth closing can look pretty uneventful from the outside. Everyone knows where to go. Documents are ready. The client knows what to expect. Outstanding items have been handled. People show up, sign, fund, and celebrate. 🎉

But after managing hundreds of transactions, I can tell you that the calmest closing days usually have a lot of work behind them. They started with a complete handoff.

📅 Deadlines were managed before they became urgent.
📩 Follow-ups continued until there was an actual answer.
✍️ Changes were communicated to the people who needed to know.
📂 The file was reviewed early enough to fix something without creating a closing-week emergency.
🏡 And the client knew what to expect before closing day arrived.

One of my favorite reminders when it comes to transactions:

Three weeks early might feel like a little inconvenience.
Three hours early might feel like a full-blown emergency.

And listen… this is real estate. 😂 Something unexpected is going to happen eventually. A document will be missing. A lender will need something right now. Someone will say, “Wait, I thought YOU had that.” You can’t prevent every curveball. But you can make sure someone is paying attention when those curveballs happen.

The goal isn’t a transaction where nothing happens. It’s a transaction where things happen, they’re caught, they’re communicated, and they’re handled before they become a bigger problem.

Because the best closing days? They almost feel a little boring. And I’m completely okay with that. 😉

As your Transaction Coordinator, there are a few things I’ll always tell you. 😉

I’d rather you ask me than guess. I’d rather know about a change immediately than discover it three days later. I’d rather have the full story when you hand me a file, especially if something unusual has already happened.

I’m going to follow up when something is outstanding, and sometimes I’m going to follow up again. And when something requires your expertise, your decision, or your relationship with the client, I’m going to bring you in.

Having managed hundreds of transactions, I’ve learned that a strong Agent + TC partnership isn't created by eliminating communication. It’s created by better communication.

I want my Realtors to know what I’m responsible for, what still belongs with them, when I need their attention, and when they can confidently step away because I’ve got it handled.

You shouldn't have to manage behind me to make sure I'm doing my job. And I shouldn't have to guess about decisions or changes you've already made.

When both sides understand their roles, the transaction becomes a whole lot easier to manage...and ultimately creates a better experience for the client, too. 🙌

I have 2 spots open for new Realtor clients this October. 🍂

If your business has grown this year but your back-end still looks a lot like you doing everything...this is your invitation to change that before the end of the year. After managing hundreds of transactions, I’ve seen what happens when an agent’s sales grow faster than the support behind them.

Every new contract brings another set of deadlines, documents, emails, follow-ups, client questions, and moving pieces...and somehow, you’re still the person keeping track of all of it.

You may be capable of doing it yourself. But that doesn't mean you should have to.

My role is to step in and manage Contract to Close: deadlines, paperwork, client communication, follow-up, compliance, closing coordination, etc.] so your transactions continue moving while you stay focused on your clients and your next opportunity.

And heading into the final quarter of the year is a pretty great time to put that support in place. Instead of waiting until you're overwhelmed by your next three contracts, we can get your systems, expectations, and onboarding handled before you need me.

🍂 I currently have 2 spots available for new Realtor clients this October.

If you've been thinking about hiring a TC, send me a DM with “LET'S DO THIS.” Let's talk about your business, what you’re ready to hand off, and whether working together would be a good fit.

That “Introduction” email is not just a friendly introduction. It explains how we’ll work together, what I need from you, where to send documents, when you can expect updates, and what happens next.

Reading it helps us:
✔️ Start each file with the right information
✔️ Avoid missing documents and unnecessary delays
✔️ Keep communication clear
✔️ Set realistic turnaround times
✔️ Prevent the classic “Wait…where was I supposed to send that?” moment

Clear onboarding expectations create a smoother experience for everyone, including you, your clients, and the other parties involved. So yes, I can tell when you didn’t read it... But it’s never too late to search your inbox. 😉

One of the biggest misconceptions about hiring a Transaction Coordinator is that you need to have everything figured out before you reach out. You don’t.

You don't need the perfect systems. You don't need to know exactly what you want to delegate. And you definitely don't need to wait until you're completely overwhelmed to decide you need support. 😉

When a Realtor reaches out to me, my first priority is understanding how their business currently operates.

🏡 What does your transaction volume look like?
📩 Where are you spending too much time?
📂 What parts of the transaction are you ready to hand off?
💬 How involved do you want to remain in communication?
✨ What kind of experience do you want your clients to have?

From there, I can explain exactly where I fit, what I handle, what remains with you, and how we'll work together. Send me “POV” and I’ll send you the details on how my process works from the first inquiry through your first file.
