Facilities Managers are responsible for the management of services and processes that support the core business of the organisation. The National Facilities Manager (NFM) ensures effective functioning of all facilities to provide an efficient and safe working/living environment. Generally focuses on using best business practice to improve efficiency, by reducing operating costs while increasing pr

oductivity. cleaning, security, landscaping, surveillance etc.) The NFM is responsible for the creation, implementation, monitoring and reporting of the Facilities Management Plan to ensure the department functions efficiently and effectively. The NFM is in charge of the Facilities budget and must negotiate with outside vendors/suppliers/contractors for supplies, repairs and other measures taking full responsibility and control of all assets/buildings nationwide. The NFM must be able to pitch the departments’ unique selling points and be able to demonstrate and justify the departments’ existence to Exco, shareholder and property partners in terms of personnel, capabilities, capacity and cost recovery. Must be custodian of the service level agreement between *** and ******/ From time to time the NFM acts in an advisory capacity to the ***** Investment Committee and Acquisitions Dept concerning the acquisition of brownfield or developed stock assisting with prompt cost estimates for decision making. Key to this position is the ability to interact professionally with the Shareholders, Executive Committee, Professional Team/Consultants, Sub-contractors, service providers, suppliers and work colleagues. building and grounds maintenance and the management of multi-disciplinary teams of staff;
directing, coordinating and planning essential central services such as reception, common areas, security, maintenance, cleaning, waste disposal and recycling;
effective plans in place for the appropriate and timeous response to emergencies or urgent issues as they arise and dealing with the consequences relating thereto;
where possible and when required, optimise the asset to increase revenue and/or drive down operational costs utilising energy considerations, spatial planning constructs etc. take the lead in liaising/engaging with professionals including architects, engineers, spatial planners, interior designers etc. ensure compliance with health and safety and environmental regulations and standards and industry codes including local bylaws. Institute correct terms of reference or contract of engagement or agreement with 3rd party service providers and administer the said agreement in terms of performance. designing the scope and preparing documents to put out tenders for contractors; champion the evaluation and adjudication processes of the said tenders. project management and maintaining control of projects undertaken within the department or under the departments scope of control;
calculating and comparing costs for required goods or services to achieve maximum value for money;
financial forecasting/budgeting
verify payment and invoicing match contract pricing
prepare and track facility budget
generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases
develop and implement cost reduction initiative
checking that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies;
plan and monitor appropriate facility management staffing levels ensure efficient utilization of facility maintenance staff
Performance manage, develop and train staff. Own, build, maintain and motivate an effective team. Develop, champion and implement a facility management program including preventative maintenance and life-cycle requirements
Ensure jobs or tickets are kept to a minimum by providing a strategy to achieve same
conduct and document regular facilities inspections
oversee facility refurbishment and renovations and ensure quality ex*****on
manage contractor and vendor relationships
manage and review service contracts to ensure facility management needs are being met
using performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement;
Put plans in place that each facility is properly and adequately documented and recorded.
