HOA document retention isn’t one-size-fits-all, but here’s a general guideline most associations follow:
• Permanent: Governing documents (CC&Rs, bylaws), meeting minutes, amendments, tax returns, audits
• 7 years: Financial records, bank statements, invoices, contracts, reserve studies, vendor bids, work orders, correspondence, routine communications and notices
When in doubt, keep it longer — especially anything tied to finances, legal matters, or decisions made by the board. Consistent recordkeeping protects your association and makes transitions much smoother.
