Responsibilities:

Daily tenant correspondence
Weekly property inspections to ensure compliance with local laws and standard operating procedures and complete inspection report
Oversee monthly rent billing and collections
Constantly maintain knowledge and changes of each assigned properties
Prepare and distribute memos, notices and other tenant correspondence
Manage repair and maintenance requests, including coordination with field staff and oversight of work to ensure all requests are addressed in a timely and professional manner
Upload property documents to an internal database and ensure documents are kept up to date
Assist with overseeing the on-site staff
Assist with all lease administration duties inclusive of; reviewing application packages, coordinate lease signings, tenant move-ins, move-outs and assist with vacant apartment turn over
Responsible for lease administrative duties (e.g. Prepare and coordinate new leases, lease renewals and related tasks)
Coordination with L&T attorneys
Review invoices and verify accounts payables with accounting department
Availability for onsite emergencies when necessary
Ensure compliance with various city, state and related governmental agency requirements(e.g. Violation tracking and removal, bedbug reporting, etc.)
Monitor building services
Efficiently manage workload by establishing objectives, setting priorities and meeting deadlines
Deliver exceptional customer service
Represent and communicate clearly and accurately, in person, over the phone and in email/writing
Enforce property rules and regulations
Qualifications, Characteristics & Other:

Minimum 5+ years of property management experience
Experience with AppFolio or similar management software

Front desk duties
Answering a high volume of phone calls

Position Summary
Manage building operations by supporting the General Manager with day to day duties. Assist with executing company goals and objectives.

General Responsibilities
Perform administrative and clerical duties including data entry, maintaining physical and electronic files, recording meeting minutes, liaise with field staff, tenants, vendors and property managers, answering phone calls, taking messages, preparing and editing correspondence, reporting.
Assist with managing the life cycle of maintenance requests including entering requests and following up with tenants to ensure work was satisfactorily completed.
Assist property managers with scheduling building preventative maintenance.
Maintain Vendor Database with current contact information including COI coverage.
Schedule regular maintenance of company vehicles, state inspections, insurance claims.
Manage uniform inventory and distribution to staff.
Assist with vendor procurement as needed (services to include extermination, plumbers, appliance repair).
Assist accounting and HR with timesheet collection, reconcile weekly timesheet into spreadsheet form, track PTO hours.
Manage inventory of supply room including review of purchase orders
Assist with development and implementation of processes and procedures
Maintain current knowledge of all city and state regulatory requirements.
Assist Manager with other duties and special projects, as needed

Description

Communicate directly with the Property Management team and Property Owners to resolve any issues and address any questions

Prepare monthly financial packages for building owners including reconciliation of accounts

Coordinate with A/P associate(s) to ensure property bills are properly approved, paid in a timely fashion, and recorded correctly

Oversee ex*****on of payroll for the building staff and payment of union dues if applicable

Coordinate with A/R associates(s) to ensure property tenants are current, communicate with Property Managers regarding outstanding tenant bills, and ensure tenant bills/payments are properly recorded

Preparation and maintenance of budgets for their assigned buildings

Prepare certain monthly, quarterly, and annual reports for their assigned buildings - including but not limited to - mortgage reporting, Form TC-201, and RPIE

Assist Senior Property Accountants with the on-boarding of new properties

Oversee compliance with receiving and returning security deposits

Assist outside accountants in the preparation of year-end audits and annual tax returns

Calculate monthly management fees and handle various property reimbursements

Report directly to the Director of Accounting

​Qualifications:

Previous experience in accounting with a property management company

Fundamental knowledge of GAAP

Familiarity with Union contracts is a plus

Familiarity with Construction reporting is a plus

Knowledge of AppFolio, AvidXchange & Quickbooks is a plus

Detail and deadline-oriented

Strong analytical and problem-solving skills

Property Administrator

Responsibilities:

Assist with administrative duties including, but not limited to, answering tenant calls, answering tenant messages and emails, filing documents, scheduling, and coordinating meetings.
Draft, prepare and distribute all correspondences in regards to building changes, updates, or property information.
Assist Property Manager with financial reporting, as needed.
Schedule and coordinate maintenance requests.
Assist Property Manager in scheduling contractors and/or utility shutdowns.
Maintain the accuracy of building and tenant files and documents to ensure accurate records are maintained.
Assist with lease renewal preparation, tracking, and follow up.
Monitor collection and assist with tenant follow up.
Conduct building site visits in accordance with New York regulations.
Track service contracts and assist in the bidding process.
Assist Property Manager(s) in their efforts to ensure properties are in compliance with all New York City and State regulations.
Track and file all contracts and insurance certificates.
Schedule Move-in and Move-outs.
Assist Property Manager in special projects as needed.
Constantly maintain knowledge of assigned portfolio
Stay up to date on new regulations and housing policies.
