I am exactly the kind of person who needs an acquisition system.

Put a gorgeous old Cream City brick Victorian in front of me—with history, character, and a hundred possibilities—and my brain immediately starts renovating a property I do not even own yet.

This particular building had been a funeral home, a dentist office, and an orthodontist office over the years. And when it came up for sale, I could already see what it could become.

That is precisely when the buy box matters.

Because sometimes the property you most want to make work is the one you need a system to evaluate the most objectively.

I don’t want my acquisition system to help me justify buying a property.

I want it to give me every reason NOT to buy it.

The property has to survive my buy box, my criteria, and the level of risk I’m actually willing to take on.

If I go into the analysis skeptical and the deal still proves me wrong?

Now I’m interested.

That mindset may not work for everyone—but it keeps me from trying to make a property fit just because I already want it.

Your Buy Box Is Supposed to Stop You

A buy box isn’t just a list of numbers you hope a property hits.

It should force you to evaluate every potential acquisition against the same standards — including the risks you’re willing to accept and the management headaches you’re willing to take on.

That consistency is one of the biggest reasons to build an actual acquisition system instead of analyzing every property from scratch.

Landlords sometimes look at the fees charged by credit-card companies, banks, and mortgage lenders and think:

How the hell can THEY charge that—but my late fee is heavily regulated?

There’s a pretty important difference.

Those industries have enormous lobbying organizations with serious money and constant access to lawmakers.

Individual landlords? Not so much.

And that makes our industry a much easier target for regulation.

Which is why knowing your state statutes matters. But I also think legal compliance is the floor, not the goal.

Know the rules. Follow them. And still remember there’s a human being on the other side of the lease.

Different properties. Different rents.

That does not mean you need a different late-fee system for every door you own.

Percentage-based late fees can give you one consistent rule across the portfolio while allowing the actual fee to adjust with the rent.

That matters more as you grow.

Because every little exception you create becomes another thing you—or whoever manages your properties—has to remember later.

Good systems make the business easier to run.

A late fee is supposed to discourage late rent.

But the same fee does not carry the same weight at every rent level.

A $75 charge on $600 rent? That gets attention.

A $75 charge on $2,100 rent? Now it’s a much smaller consequence.

That’s why I’m a fan of looking at late fees as part of the system, not just picking a dollar amount because it sounds reasonable.

The fee has to make sense for the rent, the lease, and the way you actually operate your rentals.

The post-holiday slump is real.

One day you're surrounded by lights, traditions, and celebrations. The next, everything disappears overnight—and you're expected to jump right back into work like nothing changed.

I've found it helps to ease out of the season instead of ending it all at once. Keep a few traditions around a little longer, watch another holiday movie, or enjoy the little things that made December feel special.

Taking care of your mindset isn't separate from running a business—it's part of it.

The name ""28-day notice"" trips up a lot of landlords.

Many people assume it means you can simply give a tenant 28 days' notice to move out. In reality, the law requires notice based on the rental period, and the ""28-day"" name exists because February only has 28 days.

For months with more than 28 days, you generally need to provide a full month's notice. For example, if you want a tenancy to end at the end of June, waiting until June 2 to serve notice would be too late.

Understanding the timing requirements can save you from unnecessary delays and legal headaches.

Most real estate agents are trained to market homes to people who plan to live in them. Investors play a different game.

I don't care how nice the kitchen is if the numbers don't work. Cash flow, rents, expenses, capital expenditures, and return on investment drive the decision—not granite countertops.

The right investor-friendly agent understands that you're buying a business asset, not just a house.
